Responsibilities:

  • Inventory Management: Maintain supplies inventory of onboarding kit, company T-shirts, name cards etc by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies;
  • Administrative tasks for the managing directors: Raising their expense claims as per company policy, making necessary travel arrangements for business trips, managing their calendars etc;
  • Travel Arrangements: Booking flight and accommodation for business travel for new joiner onboarding and other employees, as & when required;
  • Events: Assisting with logistics arrangements such as venue, set-up etc for marketing and employee / HR events, in coordination with the concerned internal stakeholder;
  • Office administration: Liaising with foodpanda & internal TabSquare team for office administration matters such as meeting room booking & repairs, maintenance schedule, lockers & access cards for employees, any technical issues etc.
  • Work Pass Application: Managing work pass (Work permit / EP / S-pass) related transactions for the Company’s employees;
  • Adhoc Tasks: Such as raising payment request forms, coordinating with the Finance team for invoicing & payment related tasks.

Requirements:

  • At least 2 years of executive secretarial experience supporting a team, with strong communication skills and the ability to interact with senior management and external parties independently.
  • The ideal incumbent must be competent in Microsoft Office’s suite of productivity applications, especially PowerPoint and Excel, Google workspace, and other customer relationship management tools.
  • This role is well-suited for somebody with good time management, organized, resourceful, and meticulous with good problem-solving capabilities.
  • Experience in managing events, parties, etc apart from managing executive assistant responsibilities.
