This position, based in Singapore, will support three Senior Directors in Segment and Market Operations and report to one of the Senior Directors in APAC Operations directly.

Role reports to: Senior Director, Operations
What you will do
The Executive Assistant is responsible for providing comprehensive administrative support, including complex calendar coordination, scheduling and arranging meetings, managing vendors for meetings, and coordinating domestic and international travel arrangements. You will also track communications, prepare expense reports, memos, and correspondence, and interact with various levels of management while maintaining strict confidentiality. You will support the Senior Directors in Regional Segments and Metro Asia Operations. Additionally, you will innovate on current technology platforms and load content into apps for meetings:
Key Responsibilities
- Develop and maintain executive schedules, appointments, and meetings. Resolve any conflict in schedule.
- Prepare expense reports for Senior Directors, submit expenses, reconcile expenses with credit card statements and manage personal payments, if any.
- Handle Ariba, PO and Payment related matters for the team.
- Coordinate and facilitate team meetings and events including booking of meeting venues, release of meeting invitations, testing of AV/IT meeting equipment and catering.
- Arrange for business travel requirements including concur approvals, travel itinerary (flight ticket and accommodation), transportation (if applicable), visa arrangements and agenda setting for Senior Directors.
- Set-up on-boarding of new team members (internal transfers and external hires) in Singapore including but not limited to preparing laptops, access pass, name cards, corporate credit card and mobile phone.
- Handle exit procedures for outgoing employees in Singapore.
- Manage and prioritize team communication, announcements and correspondences.
- Collate reports and presentations.
- Update organizational charts and distribution lists.
- Maintain confidentiality and handle sensitive information with discretion.
- Provide administrative support for leadership team meetings as needed.
- Interact with various levels of management and build strong relationships with EAs of other management team members.
- Utilize and innovate on current technology platforms to improve meeting efficiency and productivity.
Qualifications
What we are looking for
- Bachelor's degree in a related field or equivalent experience.
- 2-4 years of experience in a similar role.
- Experience managing multiple calendars via Outlook.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and accuracy.
- Ability to prioritize and manage multiple tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work collaboratively as part of a team and operate with a high sense of urgency while maintaining a high degree of professionalism.
- Ability to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile, and rapidly changing environment.
- Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook).
- Experience working with procurement systems, travel systems and vendor systems (PDM, on-line travel arrangements, Concur, Totality, Ariba, Aravo and GXRS systems) is preferred.
- Proficiency with productivity tools and portal technologies (i.e. LiveMeeting, WebEx, Global Connect, SharePoint sites) is required.
- Experience supporting Senior Directors is preferred.
