What We Need: We are seeking an experienced and highly organized Executive Assistant to provide high-level administrative support to our CEO. The ideal candidate will be proactive, detail-oriented, and able to manage multiple tasks and projects simultaneously. This individual must be comfortable working in a fast-paced environment and possess excellent communication and problem-solving skills.
Key Responsibilities:
Calendar Management: Efficiently manage the CEO and CGS’s calendar by scheduling meetings, appointments, and travel arrangements while ensuring optimal use of time.
Communication Management: Act as the point of contact between executives and internal/external stakeholders. Handle emails, phone calls, and other communication, ensuring timely and professional responses. Cascade messages and updates to relevant team members
Meeting Coordination: Organize and prepare materials for meetings, take meeting minutes, and follow up on action items to ensure timely execution.
Travel Arrangements: Coordinate all aspects of travel, including booking flights, accommodation, transportation, and creating detailed itineraries.
Document Preparation: Prepare reports, presentations, and correspondence. Assist with the preparation of contracts, proposals, and other business documents as needed.
Event Planning: Assist in organizing company events, conferences, and other corporate functions.
Project Support: Help execute operational projects and initiatives as requested by the executive team, including research, scheduling, and data collection.
Confidentiality: Maintain a high level of confidentiality regarding sensitive information and organizational matters.
Task Prioritization: Manage a variety of tasks effectively while prioritizing and meeting deadlines in a dynamic work environment.
Who We Think Will Be A Great Fit:
Bachelor’s degree in Business Administration, Communications, or a related field preferred.
A minimum of 3-5 years of experience as an Executive Assistant or in a similar role supporting C-level executives.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other office software tools.
Strong organizational and time management skills, with the ability to multitask.
Excellent written and verbal communication skills.
Strong attention to detail and problem-solving abilities.
