Team Summary
The AP Corporate Communication function plays a critical role in driving Visa’s business growth by advancing and protecting Visa’s reputation in the region. The function focuses on storytelling, thought leadership and content development that supports revenue growth across Visa’s three growth pillars. Not only does it increase the connections between Visa’s brand, culture, and innovation to ensure brand relevance, it also enacts proactive and defensive strategies to protect Visa’s business and reputation and evangelize Visa’s purpose. Driving the evolution of Visa’s culture and an enhanced understanding of Visa’s business strategy is a core part of what Corporate Communications does to protect Visa’s reputation in Asia Pacific.
What an Executive Administrator, Corporate Communications, Asia Pacific does at Visa:
The role is based at Visa’s Robinson Road office in Singapore and provides direct administrative support to the SVP, Head of Corporate Communications, AP, as well as indirect assistance to leadership team members and their teams.
This position handles details of a highly confidential and critical nature and requires a broad working knowledge of departmental and company policies and practices. This individual contributor position is at a developing professional level and solves a range of straightforward problems and analyses possible solutions using standard procedures. This position receives a moderate level of guidance and supervision.
In this role, you are expected to:
- Manage a complex calendar that includes scheduling meetings and travel, video conferences, training (off-site and/or internal), group events and booking conference rooms.
- Perform administrative support duties, including but not limited to drafting and typing correspondence, making copies, preparing binders, and maintaining and ordering office supplies.
- Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside companies.
- Ability to plan and execute complex global travel flawlessly, including visa applications.
- Act as a liaison, problem solver, and facilitator as the first contact for the senior leader.
- Support All Staff and Leadership Meetings including logistics, agenda/materials, onsite support and event management.
- Maintain Business Continuity Management contact information.
- Provide updates to Facility team as and when required including office needs services (ex. printer’s maintenance, supplies) and other site-specific activities as needed.
- Prepare meeting materials including assisting with the creating of the presentation and other related materials as well as printing, binding and collating of materials, and potential follow up items.
- Coordinate conference/meeting room set-up, order catering, and make logistical arrangements.
- Assist with developing and updating complex PowerPoint presentations, Excel spreadsheets and documents in support of team activities.
- Handle contract management, monthly budget tracking (including POs, invoices and accruals) and updating and interfacing with accounting as needed.
- Process expense reports and provide general information to incoming calls regarding Accounts Payables, Purchasing, Travel Policy and Expense Reporting.
- Coordinate with other Administrative Assistants/Administrators on functional/regional projects.
- This role requires off-hours responsiveness at times (for example, when the senior leader is in a different time zone).
- Support projects as needed for senior executives.

Qualifications
What you will need:
We are looking for an individual who takes great pride in being an Executive Administrator, someone who is highly efficient, proactive, results-driven and client-focused. As a candidate, you should have:
- Bachelor’s Degree or equivalent qualification.
- At least 5+ years of relevant office management experience in an MNC environment supporting a team size of over 30 employees.
- Highly proficient in organising domestic and international travel arrangements, demonstrates flexibility and problem-solving abilities to adjust or prioritise schedules based on last minute changes.
- Ability to maintain professionalism and confidentiality at all times when dealing with sensitive information and business matters, in any written or verbal communication.
- Ability to operate effectively and efficiently in a challenging, fast-paced environment with little supervision.
- Demonstrated strength in multi-tasking and prioritising work with a strong attention to detail.
- Effective planning, organisational and written and verbal communication skills.
- Advanced proficiency in Microsoft Office and demonstrated strength in developing complex PowerPoint presentations.
- Customer service-focused with ability to work collaboratively with others including interacting with internal and external contacts.
- Proactive, agile and solution-oriented, always looking for ways to add value and assist the team.
