To manage all systems and services contracts of the Security Department in Tengah Hospital, and be responsible for managing of department budget.
The Executive shall also be the secretariat for all department meetings and work to ensure organised documentation of the Department’s various work portfolios.
Job Description:
- Focus on administrative tasks pertaining to department accounts and budgets, including contract management, checking on vendor performance, vendor KPI, department SLA and so on.
- Support Department in purchase of required security systems, equipment and services for day-to-day operations, and ensure ongoing maintenance contracts for all.
- Assist Department in future upgrading of aging systems and replacement of damaged systems.
- Assist Department in purchase of equipment and services necessary to support EP operations in Tengah General and Community Hospital.
- Secondary subject matter expert in operation of carpark management system.
- Support Department in purchase and installation of carpark management system, and ensure ongoing maintenance.
- Regular submission of settlement transactions to Finance.
- Support the Executive (Ops & Manpower) on administrative issues regarding training and welfare of Security Department personnel, including working with HR on internal training budget for staff upskilling and purchase of equipment needed for day-to-day operations.
- Conduct annual asset sighting of all commissioned Security Department equipment.
- Support Department in purchase and installation of integrated security management system, and ensure ongoing maintenance.
- Develop Annual Security Department budget and workplans, and implement activities as planned.
- Monitor budget utilisation and spending, alert management on any possible budget deficits, ensure vendor invoices are paid punctually, track the progress of procurement processes.
- Act as primary admin secretariat for department meetings, and compile notes taken for official meeting minutes.
- Manage minor support services portfolios assigned to Security that are not part of operational or systems management, for e.g., procurement of consumable equipment, stationery and inventory management etc.
Job Requirements:
- A recognised Bachelor’s Degree or equivalent in any of the following (Accounting, Business Administration, Finance).
- At least 1-2 years of relevant experience in an accounts administration role, preferably in a healthcare setting. Fresh graduates may be considered as well.
- Experience with SAP-based procurement.
- ACCA or CPA certification is advantageous.
- Meticulous and detailed in organising information and data.
- Able to accurately forecast department expenditure and highlight possible budget deficits.
- Advantageous to possess valid Security Officer Licence from the Police Licensing & Regulatory Department.
This position is under contractual basis, convertible to permanent employment.
