Job description

The Events Coordinator is a vital member of the events team, responsible for coordinating
and executing the operational aspects of various events. This role involves meticulous planning,
logistical coordination, and on-site management to ensure each event runs smoothly and meets
organizational objectives. The ideal candidate is highly organized, detail-oriented, and excels in a
fast-paced environment.

Key Responsibilities:

  1. Event Management: Plan and coordinate all aspects of events, from pre-event preparation to
    on-site execution and post-event wrap-up. You'll ensure everything runs smoothly.
  2. Logistics Coordination: Manage all logistical aspects, including transportation, equipment
    rentals, and on-site setup and dismantling. You'll keep everything moving seamlessly.
  3. Vendor Oversight: Work with various vendors and logistic agencies to ensure quality and
    timelines are met. Build and maintain strong relationships while negotiating costs.
  4. Production Supervision: Oversee production from start to finish, ensuring quality and safety
    throughout the process.
  5. Technical Support: Handle technical requirements, including audio, video, lighting, and
    electrical setups.
  6. Problem-Solving: Address any issues that arise during event setup and execution, providing
    swift and effective solutions.
  7. Team Collaboration: Liaise with internal teams in projects and design divisions to ensure
    smooth event coordination.
  8. Safety Compliance: Coordinate risk assessments, safety regulations, and process
    management documentation.

What We’re Looking For:

  1. Logistics Expertise: Demonstrated experience in managing event logistics, including
    transportation, equipment rentals, and on-site setup.
  2. Supplier Management Skills: Proven experience in managing vendors and ensuring high-quality
    service.
  3. Excellent Negotiator: Skilled in cost negotiation with external vendors and contractors.
  4. Organizational Skills: Able to manage multiple projects simultaneously, with a keen eye for
    detail.
  5. Outgoing Personality: Enjoys interacting with clients, coordinating events, and managing
    setup and tear-down activities.
  6. Strong Work Ethic: Responsible, meticulous, and proactive in solving problems.
  7. Hands-On Approach: Comfortable with physical work and outdoor events under various
    weather conditions.
  8. Technical Proficiency: Competent in using software such as Microsoft Office, Google Docs,
    Google Slides, Google Sheets, Zoom, etc.
  9. Driving License: Must possess a valid Singapore Class 3 Driving License.
