Guest Experience
Key work order for Engineering to follow up with the maintenance job.
Informs Manager or security of any emergencies brought to Engineering attention.
Updates registration cards in Front Office.
Interacts and cooperates with hotel guests and outside contractors as directed by superiors.
Follows up with Guest requests by coordinating with both Engineering and Housekeeping departments.
People
Answers phone and logs all messages.
Informs supervisors of any special guest needs.
Transmits messages from guests to Housekeeping personnel, front office, and engineering.
Ensures all calls pertaining to the next day’s operation, such as personnel calling in sick, are logged in the message book and keeps Engineering Manager informed.
Ensures punctual attendance and adherence to duty schedules by all subordinate staff.
Ensures that house rules are followed.
Prepares monthly staff attendance record as required.
Ensures that personal grooming and hygiene standards are being observed. Carries out spot checks in the morning.
Ensures hotel rules and regulations are fully followed, avoiding infringements such as:
Sleeping while on duty
Arriving late at the beginning of the shift
Departing early at the end of the shift
Not following up on guest complaints
Not adhering to grooming standards
Responsible Business
Prepares the next day’s schedule based on the house count.
Calls in extra personnel when necessary.
Coordinates with outsourced labour vendors and prepares monthly attendance report (Engineering).
Prepares vendors’ invoices to submit to Finance Department.
Assists in keeping track of the IHG Crisis Management Calendar checklist on Global Evaluation Manager (GEM).
Assists in documenting audit files.
Raises purchase orders.
Handles IHG Green Engage data entry.
Assists on report making and monthly submissions.
Ensures all Engineering supplies are at the desired par.
Maintains key control and follows established key control procedure.
Is familiar with property safety, first-aid, and fire and emergency procedures and operates equipment safely and sensibly.
Is aware of the duty of care and adheres to IHG's various workplace health and safety related policies and procedures.
Complies with hotel's Health, Safety & Hygiene Policy.
