Job Title: Logistics Assistant

Reporting Officer: Senior Logistics Coordinator

About the Role:

As a Logistics Assistant at TOSEVA TIMBER PTE LTD, you will play a key role in supporting daily logistics operations, including inventory management, procurement, clerical tasks, and delivery coordination. This role requires strong organizational skills, attention to detail, and teamwork to ensure smooth logistics operations. You will work closely with Sales, Accounts, and Warehouse teams to maintain efficiency in the supply chain.

Primary Responsibilities:

  1. Daily Coordination and Liaison:
  • Collaborate with sales & project and finance teams to ensure daily deliveries are prepared on time.
  • Coordinate material viewings for clients with the sales & project and warehouse teams.
  • Work with the warehouse team to prepare samples and catalogues for clients.
  • Clerical and Administrative Support:
    • Maintain accurate records of shipments, samples, and stock movement.
    • Update inventory databases and manage filing of related paperwork.
    • Notify the Senior Logistics Coordinator of low inventory, samples and product catalogues levels to ensure timely restocking.
  • Procurement and Purchase Orders:
    • Prepare purchase orders to suppliers, ensuring accuracy and completeness.
  • Marketing Collaterals:
    • Assist in the preparation and ordering of marketing materials.
  • Finance-Related Tasks:
    • Raise Expenditure Requisition Forms (ERFs) for supplier and vendor payments.
    • Coordinate with warehouse and finance teams to troubleshoot any payment discrepancies from on-site collections and resolve them promptly.
  • Visual Inventory Management:
    • Arrange photo images of inventory materials for the sales & project team to share with clients.
  • Deliveries & Inventory Support:
    • Provide timely updates on indent goods readiness to the sales & project team.
    • Ensure sufficient stock levels to support the next shipment plan.
  • Other Duties:
    • Perform any additional tasks assigned to support logistics operations.

    Key Skills and Requirements:

    1. Experience & Qualifications:
    • Minimum 2 years of experience in logistics, supply chain, or warehouse operations.
    • Diploma in Logistics, Supply Chain Management, or a related field is preferred.
    • Prior experience in import/export logistics or material supply industry is an advantage.
  • Skills & Competencies:
    • Strong Coordination & Communication Skills – Ability to work effectively with sales & project, warehouse, finance teams.
    • Proficiency in Record-Keeping & Clerical Tasks – Experience in inventory tracking and document filing.
    • Familiarity with Inventory & Stock Management Systems – Experience with ERP systems (Microsoft Navision) is an advantage.
