- The Assistant Manager works in a close-knit team of 7 local finance team members.
- Two thirds of the team member’s time in this role will be to perform Finance related tasks. With the remaining one third of time spent on HR related tasks.
- The Assistant Manager will report to our Finance Manager who will provide the necessary training to assimilate the successful applicant into the style of work and expected duties here.
Finance Responsibilities
Note that this position is an addition to the team and all responsibilities below are currently handled by the finance manager and other finance team members; who will be able to provide direction on their accomplishment over time.
- Manage full sets of accounts including preparation of journal entries, balance sheets, income statements & other reporting schedules
- Monthly and yearly closing of accounts
- Prepare and provide analysis of monthly financial and sales reports including accruals & provisions
- Perform monthly inventory reconciliations and participate in yearly stock take activities.
- Quarterly review of GST submissions
- Manage accounting system (Note that we use the Sage 300 ERP system) including tasks such as yearly creation/backup, revaluation, user/brand/ic/code creation, etc.
- Liaise with company secretary, bankers, auditors, tax agencies, and relevant authorities on finance related matters
HR Responsibilities
Note that this position will entail taking over all responsibilities from our current part-time HR manager. In execution of most of the responsibilities here, the assistant manager will be mainly clarifying/coordinating and reporting to the managing director.
For reference, our current company headcount sits close to 100 team members (all located locally).
- Employee records maintenance: Maintain and update employees' personal data in HR portal
- Payroll & benefits administration: Manage employee benefits, including insurance, leave, and other compensation matters.
- Reports: Prepare monthly headcount report for management review
- Regulatory: Responsible for MOM-related matters, manage the application, issuance, renewal, and cancellation of work passes etc.
- Policy Development & Compliance: Ensure compliance with existing and new Singapore employment laws, and consequently, implement and update HR policies accordingly.
- Employee Relations: Together with the managing director and respective heads of departments, address employee queries and concerns regarding HR policies and procedures and resolve workplace conflicts.
- Talent Acquisition & Onboarding: Together with the managing director and respective heads of departments, oversee manpower planning and recruitment processes for various roles.
- Training & Development: Together with the managing director and respective heads of departments, identify training needs and coordinate implementation of employee development programs. Then handle all related administrative matters including training course applications, submissions, grant approvals, etc.
- Administrative: Handle all HR related administrative matters, including preparing employee documents and HR letters; managing onboarding and exit processes; employee orientation and confirmations.
Requirements
- The candidate MUST have at least 5 years’ experience in a HR and/or Finance related role
- The candidate must be highly skilled in the use of Excel spreadsheets.
Salary and Remuneration
- Monthly Basic Salary of up to SGD6,000
- Mobile phone allowance. Medical/dental claims. Basic hospitalization insurance cover.
- Annual fully company-sponsored training programme
Working Hours and Office Location
- This is a permanent full-time position.
- Flexible working arrangements (work from home 2 weekdays a week. Other 3 weekdays in office)
- Our office is located in the Serangoon / Ang Mo Kio area.
