Job description

Primary Focus

To be proactive, ensuring distribution and other ad hoc services provided is ‘right first time’. Providing an accurate, timely and responsive service equating to agreed service levels.

Key Responsibilities

General

  1. Self-management
  2. Sustain a working approach which is self-motivated, performing duties effectively and safely with a full understanding of the role
  3. Be committed to working in order to support the best interests of Williams Lea and the client, contributing towards their goal

Operations

  1. Sorting, distributing and collecting mail, Internal and External
  2. Delivering Internal and external tracked items
  3. Delivery of stationery and paper throughout all client buildings
  4. Processing of unknown mail
  5. Helping when required with folding and inserting of contracts and fulfilment work
  6. Provide cover for various floors as and when required
  7. Update client locations on database system
  8. Opening, sorting and collating of all mail addressed to client
  9. Keeping all floor plans and client desk location maps up to date
  10. Counting of internal and external mail delivered for inclusion in monthly management report
  11. All courier desk procedures and functions
  12. Processing international couriers
  13. Sort and distributing of statements
  14. Ensure that staff understand and comply with Health & Safety regulations in line with company’s and client’s Health and Safety Policies

Key personal attributes

  1. Provide a high level of customer service in all activities, demonstrating pride and professionalism at all times
  2. All telephone calls are answered within a specified timing, in a professional manner, and all client requests are followed through with a professional approach
  3. Understand the importance of the client’s request, discuss and agree requests once understood, give options and value for money
  4. Provide other related value-add services – explore service improvements through innovations and use of technology

Key Qualifications and Experience (Including Technical Skills)

  1. Educated to minimum college level
  2. Computer literate and experienced in MS Office Suite
  3. Ability to develop high quality professional documentation
