THE ROLE:
A Senior administrative assistant is responsible for coordinating and overseeing all administrative duties that pertain to supporting specific groups including director level support. This level of support includes, but is not limited to, project coordination, calendar and meeting management, travel, goods & services purchasing, report preparation, and expense reporting.
THE PERSON:
The ideal candidate will bring a blend of professionalism, expertise, passion and flexibility to the role. You will be providing administrative and project support to a dynamic team in a fast-paced environment. As an administrative professional the ability to work on multiple diverse projects and tasks that support the team will be required.
KEY RESPONSIBILITIES:
- Senior-level administrative support including heavy calendaring and meeting arrangements, travel coordination, data processing, expense reporting, meeting management, etc.
- Coordinate and track key organization data (budget, travel, equipment, etc.)
- Organize functional team events (group meetings, offsites, celebrations, etc.), facilitating communication with in-house and external contacts to ensure success.
- Meet and greet guests, order all catering for meetings, and arrange all offsite lunches and dinner meetings.
- Manage department purchases, including opening purchase orders and managing procurement card use and expenses.
- Manage and track expense reports and receipts; reconcile corporate credit card accounts regularly according to company policy.
- Understand business operations and use this expertise to help improve operations and overall efficiency of the organization.
- Handle candidate interview logistics as required.
PREFERRED EXPERIENCE:
- Relevant administrative experience.
- Proficient in Microsoft Office applications including Outlook, Word, PowerPoint, Excel, and SharePoint, with heavy emphasis in calendar management.
- Excellent customer service and composure under pressure.
- Experience working in a high paced technology company with a globally diverse population.
- Strong organizational skills, detail-oriented, ability to multitask and prioritize multiple projects in a timely manner.
- Effective written and verbal communication skills with co-workers, clients and customers at all levels.
- Demonstrated ability to partner well with others and build strong, effective relationships.
ACADEMIC CREDENTIALS:
- Diploma or similar education level, with a minimum of 5 years’ experience in administrative roles.
