This position reports to:

Commercial Operations Manager

Your role and responsibilities:

Provide internal and external customer support (e.g., order fulfillment, order assistance, payment related assistance) and coordinate with relevant resources to have complete case ownership and to increase customer satisfaction. Your responsibilities include:

  1. Ensuring the resolution of customer issues (e.g., order deliveries, logistic, payment) by coordinating with Sales, Operations, Supply Chain Management, and other internal and/or external teams.
  2. Performing order fulfillment, logistic support and taking ownership for all outgoing transactions on time.
  3. Responding to customers' enquiries on order status and delivery issues promptly with accurate information.
  4. Tracking regular target performance and providing results to management.
  5. Coordinating with 3PL on shipment arrangements, customs clearance, and logistics delivery.
  6. Updating transportation information of goods between customers and suppliers.
  7. Ensuring job closures as per target set and ensuring smooth execution of daily shipment.
  8. Updating tracking platform on a regular basis and following up closely with the relevant parties to resolve any issues or complaints satisfactorily.
  9. Coordinating with packers on special packing for fumigation, booking of shipments, preparing shipping marks, and shipping documents at the request of customers.
  10. Coordinating on Certificate of Origin applications from the Chamber of Commerce at the request of customers.
  11. Facilitating and supporting on Letter of Credit / Bank guarantees / Bonds process for orders when required.
  12. Coordinating customers' complaints to the Quality Assurance / warranty issue / Store and following up with corrective actions.
  13. Ensuring billing on time and sending invoices to customers promptly.
  14. Providing back-up support to commercial operation team members in the performance of job duties as required.

Qualifications for the role:
  • Diploma/Degree qualification.
  • Excellent communication skills, very good at customer interaction, organization, and problem-solving.
  • Minimum 2 years of relevant working experience in Logistics and Administrative work & ERP knowledge (SAP SD modules would be an advantage).
  • Familiarity with logistic flow and INCOTERMs.
  • Proficiency with Microsoft Office applications; MS Word, Excel, PowerPoint.
  • Highly systematic, flexible, organized, and meticulous in work behavior and procedure.
  • Team player with multi-tasking abilities, possess initiative, and able to work independently.
