About the Role

We’re seeking a motivated Assistant Property Manager to support the management of properties under Haw Par. The main responsibilities include tenant relations, property inspections, maintenance coordination, and lease administration. This is a great opportunity to grow your career in property management.

Key Responsibilities:

Tenancy Acquisition & Administration

  1. Market available spaces
  2. Liaise with property agents
  3. Attend to all viewings by prospects along with agents
  4. Tenant Relationship Management
  5. Negotiate for best tenancy terms
  6. Prepare Letters of Offer
  7. Liaise with lawyers to prepare Tenancy Agreements
  8. Monitor expiry dates and renewal lead time
  9. Monitoring all money matters — Deposit, Invoicing, Collection, Arrears, Letters of Demand, Interest Charges, etc.
  10. Parking matters - Season / Hourly / Breaches, etc.
  11. Liaise with external legal advisers & Writ of Distress, etc.
  12. Maintain systematic record management (physical and electronic)

Facilities Management

  1. Attend to handing over and taking over of premises
  2. Ensure safety and security of the premises
  3. Oversee security, cleaning, and other building services maintenance contractors.
  4. Work closely with technical staff on maintenance related matters.
  5. Ensure well-being and operability of all fixtures and equipment
  6. Liaise with vendors and suppliers — qualifying status / independence
  7. Monitor expenditures (budgeted / non-budgeted)
  8. Liaise on proposed work & work Orders
  9. Work closely with external consultants such as architects, M&E consultants, QS Structural Engineer etc. on upgrading, improvement and development projects etc.
  10. Monitor tenant’s fitting out work, reinstatement work, minor improvement works, routine maintenance work.
  11. Oversee development projects, minor and major upgrading and renovation works
  12. Monitor maintenance contract expiry dates and renewal lead time

Compliance & Reporting

  1. Ensure compliance with property-related rules and regulations.
  2. Manage property tax matters, including claims and contesting.
  3. Conduct periodic property inspections (e.g., fire safety, structural, usage).
  4. Obtain market reports (URA/JTC data, property consultants, asking rates, etc.).
  5. Update and maintain tenancy schedule.
  6. Prepare and submit the Monthly Management Report.
  7. Maintain and update the Table of Financial Authority.
  8. Participate in the Annual Budget Exercise.
  9. Conduct Risk Management Reviews.
  10. Assist in Annual Property Valuation.
  11. Support Internal Audit activities.
  12. Ensure adherence to internal control procedures.

Requirements:

  1. Diploma or Degree in Property Management, Real Estate, Business Administration, or a related field.
  2. At least 2-3 years of experience in property management or related roles, preferably in commercial or residential properties.
  3. Excellent organizational skills with attention to detail.
  4. Strong communication skills, both verbal and written.
  5. Strong problem-solving abilities.
  6. Team player with a collaborative approach to work.
