Job description

Job Purpose

The HR Officer will support the HR team in training administration and general HR operations such as maintaining HR inventory, processing routine administrative requests, and assisting various HR tasks to ensure the efficient day-to-day functioning of the HR department. The HR Officer will play an essential role in supporting employee engagement and development initiatives while ensuring accurate and timely management of HR records, resources, and communications.

Job Responsibilities

Training Administration

  1. Manage the day-to-day training administration matters, including but not limited to registrations, booking of venues (for in-house training), booking of hotels and air tickets (for overseas training) and administering payments.
  2. Track employee training participation and maintain updated training records in the HR system.
  3. Assist in preparing training materials, presentations, logistics and feedback forms. Manage post-training evaluation, compile training reports and statistics.
  4. Research and apply for training grants/funding from the relevant agencies.
  5. Explore and identify available training programmes that align with the needs and required skillsets of the staff in each department.
  6. Support the coordination of the staff induction programme.

Other Administrative Duties

  1. Support monthly health care related payment requests and staff pass orders.
  2. Manage and ensure adequate stock of staff polo shirts. Manage the requisition and distribution of vouchers and cards for employee’s birthday and special occasion recognition.
  3. Assist in preparing reports, presentations, and other HR communications.
  4. Support the team in training and outreach activities i.e. Career Fairs, Learning Journey etc.
  5. Undertake any other duties, as assigned.

Job Specifications

Qualifications and Experience

  1. Diploma, preferably in Human Resources Management or Business Administration
  2. 1-2 years of experience in an HR support role would be an added advantage.

Additional Skills and Knowledge

  1. Strong organisational skills and attention to detail.
  2. Proficient in MS Office Suite (Word, Excel, PowerPoint).
  3. Good communication and interpersonal skills.
  4. Ability to manage multiple tasks effectively and meet deadlines.
