Job Summary:

We are seeking a detail-oriented and proactive Operations Support to support daily operations related to resource planning, supply chain management, procurement, and logistical coordination. The successful candidate will be responsible for maintaining efficient workflows, ensuring timely procurement of materials, managing manpower scheduling, and supporting logistics processes to optimize overall business efficiency.

Key Responsibilities:

i) Planning & Coordination:

  1. Assist in scheduling and coordinating procurement and logistics activities to meet project deadlines.
  2. Maintain and update records of inventory, supplier contracts, and order tracking.
  3. Support demand forecasting by liaising with various departments to anticipate supply needs.
  4. Plan and manage manpower scheduling to ensure efficient resource allocation and workload distribution.
  5. Prepare and maintain risk management documentation to identify, assess, and mitigate potential risks in procurement and logistics operations.

ii) Procurement:

  1. Source and evaluate suppliers, negotiate pricing, and manage vendor relationships.
  2. Prepare purchase orders and ensure timely approvals.
  3. Monitor and track orders to ensure timely delivery of materials.
  4. Maintain accurate procurement records and generate reports for management.

iii) Logistics:

  1. Coordinate transportation and delivery schedules with logistics providers.
  2. Ensure compliance with shipping and regulatory requirements.
  3. Track shipments, resolve delivery issues, and ensure proper documentation.
  4. Maintain records of inbound and outbound shipments.

iv) Administrative Support:

  1. Prepare reports, presentations, and documentation as required.
  2. Assist in budget monitoring and cost analysis related to procurement and logistics.
  3. Ensure adherence to company policies and standard operating procedures.
  4. Handle correspondence with vendors, clients, and internal stakeholders.

Qualifications & Requirements:

  1. Diploma or Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or a related field preferred.
  2. 2+ years of experience in administration, procurement, or logistics.
  3. Strong organizational skills and attention to detail.
  4. Proficiency in Microsoft Office (Excel, Word, Outlook) and ERP systems.
  5. Excellent communication and negotiation skills.
  6. Ability to multitask and work efficiently in a fast-paced environment.
  7. Knowledge of procurement and logistics best practices is an advantage.
