Job description

The Job:

  • Provide support to the APAC Legal Leads based in Singapore and Australia (Sydney).

  • Serve as the primary point of contact for internal and external stakeholders, including direct reports, employees, clients, and business partners for the legal teams in APAC.

  • Organize and coordinate executive meetings, extensive travel arrangements, and external relations efforts.

  • Oversee special organizational or multi-department projects and handle other office management and administrative activities as needed. Manage processing, tracking, and payment of external counsel fees and other vendor services; and manage and submit monthly expense claims.

  • Manage contract execution and contract management, including storing and retrieving signed contracts (both hard and soft copies).

  • Liaise with other departments and senior executives on contract signing.

  • Work closely with the legal team to coordinate processes and ensure smooth information flow.

  • Collaborate with the Corporate and Regulatory COEs to keep authorities, datasheets, license renewals, etc., up to date.

  • Generate and issue first draft template documents using Avvoka or other approved templates, including confidentiality agreements, renewal agreements, and service agreements.

  • Perform other contract management functions as required.

The Daily:

  • Provide support to legal leads in executing contracts, filing and retrieving documents, and preparing or reviewing first draft standard form documents (renewals, NDAs, releases, insertion orders, etc.) using approved templates or Avvoka.

  • Coordinate within the legal team and across COEs to develop workflows for complex projects/documents.

  • Liaise with internal clients to coordinate instructions and execute contracts and other documentation in accordance with WBD’s execution and delegation of authority processes.

  • Serve as an internal resource and respond to questions about legal-related processes and the location of legal resources.

  • Coordinate people and processes to ensure documents are delivered on time and correctly filed.

  • Review and audit contract approval and execution processes.

  • Perform other ad hoc paralegal, administrative, and office management duties.

The Essentials:

  • 5 years of experience in an in-house legal department or law firm as a paralegal, contracts administrator, or legal project manager. Media or Technology industry experience is a plus. Detail-oriented and meticulous.

  • A Levels or higher education.

  • General knowledge of Microsoft Office suite and other administrative organization programs.

  • Ability to multi-task and respond efficiently to special tasks and requests with deadlines.

  • Some after-office hours coordination may be required due to international time zones (but not often).

  • Good and tactful communication skills for dealing with various parties (both internal and external). Analytical and resourceful with a broad perspective to anticipate and pre-empt future needs.

  • Strong organizational, coordination, and communication skills. Confidence in liaising with senior management particularly when managing contract execution.

  • Self-starter, responsible, systematic, and able to work under pressure, as part of a geographically diverse team.

  • "Can Do" attitude with the confidence to raise issues and question instructions/status quo. Strong interpersonal skills, impeccable judgment, integrity, and a team player.
