Key Duties & Responsibilities | About the Role

Reporting to the Sales & Operations Director, you will be exposed to a fast-paced, dynamic & friendly working environment. This role will require you to work closely with various department heads and engage often with corporate customers as well as internal staff. If desired, you may potentially be promoted to a managerial role or head a department of your own, in line with our expansion plan over the next few years, giving you a rewarding career path.

As the Personal Assistant, you will provide administrative/secretarial support (including but not limited to):

  • Research, prepare & handle confidential-related matters
  • Maintain efficient filing system of internal, external and confidential business documents
  • Attend meetings and corporate events on behalf whenever required & necessary
  • Organizing/managing appointments with prospective & existing clients and key business partners, including setting venues where necessary
  • Calendar management, agenda preparation, manage emails drafting & phone calls
  • Assist in responding to selective emails on behalf to vendors, business partners, suppliers etc.
  • Prepare presentation materials only when necessary
  • Professional and courteous telephone screening & liaison both internally and externally
  • Scheduling conference calls and video conferences, whenever necessary
  • Minutes taking for major meetings and notes taking for internal & external discussions
  • Follow up due course of actions after meetings and discussions
  • Greet and coordinate on guests and visitors
  • Assist in talent recruiting working closely with the HR department, including screening, filtering & hiring of candidates for selected & key positions
  • Organizing events for team bonding and team gathering sessions
  • Assist in official errands for the company with collection and delivery of hand-held items e.g. during festive seasons such as corporate gifts to key customers
  • Occasionally assist in Director’s personal errands e.g. bills payment, arranging appointments with associates for lunch meetings, sending vehicle for servicing, collecting/delivering items for repair etc.
  • Assist in building connections with selected business partners to create new sources of business revenue and create company awareness through active business meetings and events
  • Assist in any other ad-hoc duties, as and when required

Qualifications & Experience | About You

The ideal Personal Assistant:

  • Degree holder (in business management or related field)
  • 3 years relevant experience
  • Proficient in MS Office (Excel, Word, Outlook, PowerPoint)
  • Strong interpersonal skills, excellent oral, written and verbal communication skills
  • Ability to communicate effectively with business contacts via phone, email, video and presentations
  • Able to assist in teams & Zoom online meetings to manage internal & external meetings
  • Independent, resourceful & a good team player
  • Meticulous and well-organized
  • Positive working attitude, trustworthy and willing to learn
  • Must be adaptable to a fast-paced working environment
  • Preferably someone with a valid Singapore driving license but not a must
  • Sales/Customer service relationship background is a plus
