Job Description

As a Senior Document Controller, you’ll be the central hub of information, ensuring that all project documentation is accurate, accessible, and fully compliant with industry standards. You’ll collaborate with contractors, consultant and client teams, managing workflows and keeping critical project documents organized and up to date.

  • Responsible for managing a team of Document Controllers including and not limited to:
  • Establishing and managing a structured documentation control processes to control, track and distribute project documents for major CAPEX project.
  • Implementing and working with an Electronic Document Management System.
  • Acting as the go-to person for all document-related queries across internal teams, contractors, consultants, and client representatives.
  • Developing and implementing a document retention policy in compliance with relevant regulations.
  • Managing the archival and disposal of project documentation as per the retention policy.

Team Leadership:

  • Lead and mentor a team of documentation professionals, providing guidance and training as needed.
  • Is a superuser of document management tools and can train other project team members.
  • Tracks and reports document progress, and supports Project Management team to measure, document progress during the project phases.

Change Management:

  • Develop and implement a change management process for project documentation.
  • Ensure that changes to documents are properly documented and communicated to relevant stakeholders.
  • Conduct impact assessments for changes.

Quality Assurance & Audits:

  • Conduct regular document audits to maintain accuracy, organization, and compliance.

General:

  • Support the risk management process.
  • Identify potential risks associated with proposed changes and document mitigation strategies.
  • Work as part of a cross-functional team.

Qualifications

  • >5 years of experience in change control, quality assurance, or document control within a large-scale construction project.
  • Expertise in Document management systems (DMS) or equivalent change/information management systems.
  • Excellent organizational, prioritization, and problem-solving skills.
  • Time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint).
  • Strong written and verbal communication skills.
  • Experience creating dashboards, generating reports, and performing data analysis to track change control metrics is preferred.
  • Self-motivator with an analytic nature.
  • Strong interpersonal skills with a team-focused attitude.
