Job description

As an Events Executive, you will play a key role in the execution of various events, ensuring that all aspects of event planning and coordination run smoothly. Your primary responsibility is to support the team by managing logistics, coordinating on-site operations, and ensuring that events are executed according to the specific requirements of clients, investors, and project stakeholders.

Key Responsibilities:

  1. Client and Project Understanding:
    • Communicate with clients, investors, and internal project teams to understand the specific objectives, expectations, and requirements of each event.
    • Assist in customizing event details to align with the client’s vision, providing suggestions and solutions to meet their goals effectively.
    • Ensure that the client’s needs are accurately reflected in all event planning and execution phases, keeping them informed and engaged throughout the process.
  2. Logistics Coordination:
    • Assist in the selection of suitable venues for events, ensuring they meet the client’s requirements, including location, size, and technical capabilities.
    • Coordinate vendor relationships, assisting in the negotiation of contracts and managing vendor communications to ensure services are delivered as promised and within budget.
    • Track and manage event budgets, ensuring that all costs are within approved limits, and help identify areas for cost savings where possible.
  3. On-Site Event Management:
    • Support in the overall event setup and execution, ensuring smooth transitions between event phases and that all logistics are handled as per the event plan.
    • Monitor the event progress, ensuring that everything is running according to schedule and that all staff, vendors, and volunteers are following their assigned tasks.
  4. Post-Event Evaluation and Reporting:
    • Collect feedback from clients, attendees, and vendors after each event to evaluate the success of the event and identify areas for improvement.
    • Support the team in reviewing event performance, providing suggestions for future events based on feedback and insights gathered.
  5. Administrative and Ongoing Support:
    • Provide ongoing administrative support to the senior event management team, helping to track timelines, deadlines, and key milestones.
    • Assist in maintaining relationships with vendors, venues, and clients, ensuring excellent communication and potential future collaboration opportunities.

Requirements:

  • Experienced in Event Organisation/Management.
  • Excellent communication and interpersonal skills to work effectively with clients, vendors, and team members.
  • Strong organizational skills, with the ability to manage multiple tasks and deadlines.
  • Problem-solving ability, particularly when addressing unexpected issues during events.
  • Knowledge of budgeting and financial tracking, with the ability to maintain cost-effectiveness without sacrificing quality.
  • Proficiency in Microsoft Office, event management software, and social media platforms.
