Finance & Accounting Senior Coordinator

POSITION SUMMARY - This position is based in Singapore
The Finance & Accounting Senior Coordinator supports the Singapore office and all other staff in their efforts to comply with CI finance and accounting controls, grants policies & procedures, local reporting, and governance conditions. They ensure that sound donor and grant management policies and practices are adopted and implemented. They manage and support financial reporting to provide management with timely and relevant financial information to make informed decisions. They organize and direct all general accounting activities and maintain the accounting systems required to properly record and report all field financial activities. This includes maintaining and managing appropriate systems, procedures, and reports for financial management, and monitoring budget versus expenses as well as preparing financial reports to donors.
This position does not supervise staff, and the incumbent is expected to work independently on routine duties.
RESPONSIBILITIES
- Manages day-to-day financial transactions and reporting including, review of expense reports, cashflow requests, and preparation of full sets of accounts for CI Asia-Pacific (CIAP) and CI Singapore Conservation Trust (CISCT).
- Process payments to all vendors including Government authorities on a timely basis.
- Process payments for employee expense claims and banking in the same into the employee’s bank account.
- Records all financial transactions into the accounting system and ensure the monthly closing deadline is met.
- Reconciles bank account and all asset and liability accounts including preparation of monthly schedules and uploading into shared drive.
- Quarterly preparation of fringe benefits analysis report.
- Prepares annual management accounts in accordance with Singapore financial standards. Liaising with external auditors and coordinating external audit activity.
- Ensure transactions meet compliance and regulatory needs as it relates to the maintenance of Charity status and operationalize those working closely with the Singapore team.
- Assists preparation of annual report and submission to Charity Portal for CIAP and CISCT.
Additional Responsibilities
Incoming Grants & Contracts Management:
- Supports Operations Director on monthly reporting for incoming grants and contracts: overspent and past-due projects and other required reports as assigned.
- Supports the preparation of project budgets in both the CI budget template and donor template, as required.
- Manages all financial aspects of local incoming grants and donations, and assists the Operations Director in preparing donor financial reports. Circulate incoming grant or donation notifications to relevant teams in CI and issue donation receipts.
- Update internal records and trackers regarding incoming funds received either directly from corporate and philanthropic donors or through platforms such as giving.sg campaigns.
Other Responsibilities:
- Support internal and external audit processes and ad-hoc tasks related to the position as needed.
Other duties as assigned by the supervisor.
WORKING CONDITIONS
- This position will require a minimum of two days in the office per week.
- Typical office environment with flexibility to work from home.
- Ability to work extended hours to meet deadlines.
QUALIFICATIONS
Required
- Bachelor’s degree in finance, accounting or business administration, or related field.
- Relevant 2 to 4 years of work experience or equivalent combination.
- Proven financial management skills and experience in budget preparation and management.
- Prior experience in integrated business systems.
- Ability to accurately and efficiently review and analyze detailed information.
- Familiarity with the requirements for successfully managing a non-profit organization under Singapore law including a good understanding of Institute of Public Character (IPC) requirements.
- Fluent in spoken and written English.
- Excellent organizational skills and ability to prioritize and multi-task.
- Effective communication skills, including being able to connect and communicate effectively in remote settings of a global organization like CI.
- Demonstrated ability to work effectively with all levels of employees in a team setting.
- Demonstrated ability to handle confidential and sensitive issues and information.
- Thorough knowledge of Microsoft Office 360.
Preferred
- Non-Government Organisation experience.
- Good working knowledge of various tax and charity regulations in Singapore.
