What this job involves
Broadly, the Document Controller will work together with the Project Management team and will work within the established Electronic Document Management System (EDMS) to ensure that project information is accurate, controlled, filed, and registered for optimized tracking and retrieval.
The Document Controller is responsible for the following:- Collate and upload documents into centralized folder structures following set procedures.
- Check documents for accuracy of spelling and grammar. Edit/correct documents as required.
- Ensure that pre-established document control requirements are satisfactorily met throughout the duration of the project.
- Expediting the creation, review, signature approval, and release of internally produced documents.
- Enter data, receive, track, and control documents using the Electronic Document Management System.
- Produce logs, transmittals, and other reports as required.
- Assist users in capturing and locating electronic information.
- Verify retention requirements; arrange hard copy filing and long-term storage or handover documents at the time of closeout.
- Review and update technical documents (e.g., manuals and workflows).
- Ensure all documents and files have the appropriate document management version control protocols in place.
- Notify personnel of updated document versions and how to access them.
- Work with all documents and records across various business lines, regions, countries, and sectors.
- File all documents as digital records.
- Create document templates as requested for future use.
- Retrieve files as requested by key stakeholders and clients.
- Manage the flow of documentation within the organization.
- Maintain confidentiality around sensitive information and terms of agreement.
Sound like you? To apply you need to be:- Our successful Document Controller has a basic understanding of construction and engineering project documentation, drawings, etc.
- Familiarity with project management would be viewed favourably.
- Knowledge and familiarity with Electronic Document Management Systems (EDMS).
- Proficient typing and editing skills.
- Data organization skills.
- Attention to detail.
- Ability to engage and work effectively with all levels of stakeholders, including senior executives.
- Strong analytical background with attention to detail.
- Strong organization skills with the ability to work on multiple tasks.
- Show proof of rigor and autonomy when working.
- Ability to work to meet deadlines, even when timeframes are demanding.
To apply you need:- Proven work experience as a Document Controller or similar role.
- Tertiary qualification in computer science, business administration, construction/engineering, or similar field.
- Minimum of 2 years’ experience in document or records management.
- Experience working with many file types.
- Working knowledge and familiarity with Google Suite.
- Basic knowledge and understanding of construction projects.
- Good report writing skills.
