Position: School Counsellor

Duties & Responsibilities

The School Counsellor is responsible for the counselling and guidanceprogramme at Hwa Chong Institution. The School Counsellor’s duties includebut are not limited to the following:

Job Description:

1. Counselling Students

a. provide direct counselling intervention for students in the High SchoolSection, and, where needed, in the College Section

b. be a valuable team member of the HS Well-Being Centre and collaboratewith other counsellors in designing and implementing a coherent systemof counselling and well-being approaches

c. coordinate with the Case Management Team in providing timely supportfor students who need counselling

d. make home visits for students who are unable to come to school

2. Working with Staff

a. provide consultations for staff in managing students with academic,behavioural, and emotional issues

b. provide and source for counselling training & other workshops forstaff to strengthen their affective skills

c. collaborate with relevant staff teams to set up upstream preventionstrategies

3. Working with Parents

a. provide consultations for parents in managing students with academic,behavioural, and emotional issues

b. conduct and/or coordinate workshops for parents to align their expectationswith the school’s and to strengthen their parenting skills

4. School Duties

a. provide counselling support in the event of school emergencies as amember of the Caring Action in Response to Emergencies (CARE) team

b. coordinate and collaborate with the Student Development Team in thedesign and implementation of the Peer Support programme

5. Curriculum Design and Implementation

a. collaborate with Student Development Team members in the design andimplementation of a guidance curriculum in the High School Section

b. work with the Student Development Team in designing and implementingprogrammes to promote students’ social and emotional growth

6. Any other duty as assigned by the Reporting Officer, Deans, DeputyPrincipal or Principal

The School Counsellor’s expertise and primary duties are to provide counsellingservices to the school. However, the School Counsellor is also an integralmember of the Student Development Team, and would be actively involvedin the programmes pertaining to students’ affective development.

Position: Library Manager

DUTIES & RESPONSIBILITIES:

Position Overview:

The Library Manager plays a crucial role in ensuring the effective managementand operation of two libraries within the school – one for the secondaryschool section and another for the junior college section. The LibraryManager is responsible for developing, maintaining, and promoting libraryresources, services, and programs that support the educational and recreationalneeds of students, teachers, and staff. This role involves both administrativeand educational components to foster an environment conducive to learningand research. 

Key Responsibilities:

1. Library Operations Management:

Oversee the day-to-day operations of both the secondary school and juniorcollege libraries.

Fine-tune and enforce library policies, procedures, and guidelines toensure consistent and efficient library usage.

Oversee the main functions of the library – Finance, Acquisition, Cataloguing,Reporting, Weeding and Circulation. 

Manage library staff, including hiring, training, scheduling, performanceevaluations and welfare of staff.

Monitor library budgets, expenditures, and resource allocations.

2. Collection Development:

Collaborate with teachers, curriculum coordinators, and school administratorsto curate library collections that align with the academic needs of bothsections.

Evaluate and select appropriate print and digital resources, includingbooks, journals, databases, and multimedia materials.

Regularly assess the relevance and currency of the collections and makeinformed decisions about acquisitions and deselection.

3. User Services:

Provide exceptional customer service to library users, assisting withresearch, information retrieval, technical inquiries and book recommendations.

Foster a welcoming and inclusive environment in the libraries to encouragelearning and collaboration. Support CCA teacher-in-charge in training andsupervising student librarians. 

4. Library Technology and Systems:

Oversee the implementation and maintenance of library management systems,databases, and digital platforms.

Ensure user-friendly access to electronic resources and digital collections,troubleshoot technical issues, and facilitate training for library patrons.

5. Promotion and Outreach:

Develop and implement strategies to promote library resources and servicesto students, teachers, and parents.

Organize and participate in events, book displays, and reading initiativesto encourage reading culture and engagement within the school community.

6. Collaboration and Partnerships:

Collaborate with subject teachers and faculty to integrate library resourcesinto the curriculum.

Support Library Head in all matters pertaining to the library as a resourcecenter.

7. Professional Development:

Stay updated with current trends and developments in library science andeducation through continuous learning and participation in relevant workshops,seminars, and conferences.

REQUIREMENTS

Bachelor's or Master's degree in Library and Information Science or relatedfield.

Previous experience in library management, preferably in an educationalsetting.

Strong organizational, communication, and leadership skills.

Proficiency in library management systems, technology, and digital resources.

Knowledge of educational trends and curriculum needs.

Ability to work collaboratively with diverse stakeholders.

Position: Administration Officer (Temp) – 4 to 6 months

DUTIES & RESPONSIBILITIES:

1. Provide frontline assistance to staff, students andpublic, through emails, phone calls and over the counter.

2. To ensure the smooth day-to-day operation of theadministration department and school events

3. Provide administrative support for school events.

4. Perform any other administrative functions as andwhen required.

REQUIREMENTS

Minimum O Levels or higher with experience in customer service and administrativework.

Computer literate and proficient in MS Office applications.

Excellent interpersonal and communication skills.

Good command of both English and Chinese, verbal and written.

An independent worker and also an excellent team player with passion forservice excellence.

Highly customer oriented and able to multi-task.

Position: Assistant Manager, Strategic Engagement & Communications

The Assistant Manager manages and supports the HCI Strategic Engagement& Communications team administratively. He/She will co-develop andimplement strategies to enhance the school’s branding, partnerships andoutreach with key stakeholders, ensuring all aspects of internal and externalcommunications via various platforms are aligned to school’s vision andpriorities.

Collaborate to create and execute innovative strategies that elevate theschool’s brand and outreach efforts.

Organize and execute events that highlight the school’s strategic strengths

Working with School Leaders and SEC team to ensure consistency in brandingacross all communication platforms and materials, with alignment with theschool’s vision and priorities.

Support crisis situations with poise and strategic communication to protectand manage the school's reputation.

Content Creation:

Coordinate and produce compelling content that resonates with the school'sdiverse audience, including students, parents, alumni, and the broadercommunity.

Co-create communication packages tailored for internal and external stakeholders,ensuring clear and effective messaging.

Develop and build publicity materials, including brochures, newsletters,and digital content, that support the school’s branding efforts.

Cultivate and strengthen ties with partners and stakeholders to advancethe school’s strategic goals and network.

Organize and host visits from external stakeholders, ensuring a memorableand effective experience that highlights the school’s offerings.

Deliver presentations at outreach and engagement sessions

Media Relations:

Develop and maintain relationships with key media contacts.

Act as the primary liaison between the organization and the media, ensuringtimely and accurate communication.

Scan and monitor media contents to identify opportunities for positivecoverage and address any potential issues.

Organize and manage press conferences, media coverage, and interviewswhere needed.

Write and distribute press releases, media kits, and other communicationmaterials.

Others:

Curate and manage a diverse range of corporate gifts for the school, ensuringthat they reflect the school’s brand

Stay updated on industry trends and best practices in communications,media management and branding

Requirements:

Bachelor's degree in Communications, Public Relations, Marketing, Journalism,or a related field

Minimum 5 years of experience in communications, public relations or arelated role, preferably within an educational institution

Strong work ethic and personal integrity

Track record of successful branding campaigns would be a plus.

Exceptional communication (spoken and written), with the ability to craftclear, engaging and persuasive messages

Excellent interpersonal skills necessary to build rapport and collaborateeffectively with various stakeholders.

Creative content creation skills, with an eye for design and ability towork on infographics, videos and other creatives

Excellent organizational and project management skills

Position: HR Officer

To drive recruitment and onboarding of talents for the institution’s temporarystaff team and support in Staff Professional Development. This role requiresadministrative and systems support to the team to ensure smooth operationsand alignment with the department's objectives.

Job Descriptions:

Management of Recruitment and Management for Temporary Staff

Be actively involved in recruitment by preparing job descriptions, postingads and managing the hiring process.

Source and recruit talents through databases, job boards, social media,and other avenues.

Coordinate and conduct interviews.

Seek continuous improvements by learning and adopting new HR best practices.

Onboarding

Coordinate and manage the end-to-end onboarding process for all new hiresand prepare and distribute onboarding materials, including welcome packs,employee handbooks, and training schedules.

Administrative Duties

Reception of vendors, guests, and visitors.

Assigning envelopes to the correct department.

Handling P and SWC invoices, ensuring they are signed by the correct RObefore submitting to the accounts department.

Arrange courier services and manage staff welfare.

Prompt updates for new hires on MOE, Opal and ISP systems.

Season Parking

Assist with parking issues and inquiries.

Manage and reconcile monthly season parking records.

Coordinate parking renewals and prepare for next year's balloting.

Budgeting

To assist in annual HR budget and SWC Budget.

Exchange Student Program (Support Role)

Assist with chaperoning exchange students.

Arranging transportation, accommodation and administration.

Organise cultural exchange activities and monitor student progress ifneeded.

Ad-hoc Duties

Assist with other HR projects and initiatives as needed.

Requirements:

Minimum Diploma in HR Management, Business Administration or any relatedfield

Candidates with 2-3 years in experience in HR generalist role

Excellent communication and interpersonal skills

A team player who is also able to work independently

Tech savvy would be an advantage
