What will you do as a Customer Service Planner?
As a Customer Service Planner, you will be responsible for prioritizing and planning customer orders and programs holistically and independently without bias. Additionally, you will manage pre-arrival communication with Agents (vessel ETA to ETB) and internal communication between Customer Service and Operations, coordinating with Operations and Maintenance departments to support terminal activities and infrastructure downtime, as well as continuous improvement to enhance service delivery performance.

What do we expect from you as a Customer Service Planner?
- At least 3-6 years of experience in a highly dynamic, fast-paced environment.
- Experience in terminal operations.
- Operational or Logistics experience in Oil & Gas or bulk logistics is a strong bonus.
- Experience in maritime/vessel operations is a bonus.
- Relevant experience in (industrial/B2B) a fast-paced environment.
- Degree in any business discipline (for new hire).

Your core responsibilities are:
- Understand the infrastructure system, line routes, and terminal constraints.
- Empowered to plan terminal activities independently, with the most optimal use of terminal resources.
- Execute planning activities within a defined framework/system with dependencies on other processes.
- Monitor, review, and highlight any gaps in performance and ensure prompt delivery of customer orders and expectations.
- Jetty Planning: Plan all vessels and barges at the jetties based on prevailing operational planning guidelines.
- Calculate laytime based on available vessel and shore tank information, norm times, and planned activities.
- Maintain contact with relevant third parties in the days prior to arrival.
- Coordinate closely with Operations to monitor the progress of running operations, scheduling (hardware) for upcoming vessels.
- Truck Planning: Review and coordinate trucking timeslots to ensure no conflict in infrastructure usage with other terminal activities.
- Manage and coordinate with Operations for manpower availability to support trucking activities.
- Transfers Planning: Plan ITT including ITT Blend within the logistics program.
- Plan External Pipeline transfers.
- Align the Truck and Drumming activities with the marine and ITT movements.
- Perform signal conflicts and delays and trigger discussions with CS and Operations.
- Act as the single point of contact between the Account Managers and the CCR (Operations) for planning and progress-related communication (except for urgent customer-facing issues).
- Lead planning discussions between CS and Operations (morning meetings, issue resolution, etc.).
- Represent Vopak’s interests when dealing with third parties, including but not limited to shipping agents and bulk transporters.
- Coordinate with Operations and Maintenance on the impact and timing of infrastructure downtime to minimize customer impact and optimize the use of maintenance resources.
- Manage periodic and preventive maintenance requests and contribute to the superior safety standards expected of Vopak.
- Contribute to reviewing existing customer service planning and logistics processes in their area of work to generate new ideas for continuous improvements.
- Monitor trends and evaluate opportunities for implementation.
