Exciting Opportunity: Customer Service Executive (Sales & Purchase Order Processing)

Salary: 2,800 to 3,000 per month

Provenance is looking for a proactive and detail-oriented Customer Service Executive to join our team. This role involves handling sales and purchase order processing, managing customer inquiries, and coordinating with internal teams to ensure smooth operational flow. Job Description:

  1. Sales Order Processing
    • Accurately enter and process sales orders from customers, verifying details for accuracy.
    • Coordinate with the sales team to confirm order information, delivery schedules, and meet lead times.
  2. Purchase Order Processing
    • Create and manage purchase orders with suppliers, confirming product availability and delivery timelines.
    • Collaborate with procurement for planning and stock replenishment, ensuring timely order fulfilment.
  3. Customer Communication
    • Act as the primary point of contact for customer inquiries related to orders, products, and delivery timelines.
    • Address and resolve customer concerns, providing regular updates on order status and maintaining positive relationships.
  4. Documentation and Record-Keeping
    • Prepare and maintain accurate records of sales and purchase orders, complying with company policies.
    • Generate reports on sales, orders, inventory, and other key metrics for management review.
  5. Coordination with Internal Teams
    • Work closely with warehouse, logistics, and delivery teams to ensure accurate order fulfilment.
    • Coordinate with finance to handle invoices and resolve any billing discrepancies.
  6. Inventory Management
    • Monitor inventory levels, assisting with audits and initiating reordering as needed.
    • Conduct regular stock reconciliations and collaborate on inventory planning.
  7. Reporting and Analysis
    • Analyse order trends, customer satisfaction, and inventory data to identify areas for improvement.
    • Provide insights and feedback on customer demand and ordering patterns to management.
  8. Additional Support Tasks
    • Assist with product returns, exchanges, and warranty claims.
    • Participate in training to stay updated on product knowledge and company policies.
    • Undertake other tasks as assigned by management.

Requirements:

  • Minimum of 3 years of experience in customer service, order processing, or a similar role.
  • Strong communication and organizational skills, with attention to detail.
  • Proficient in MS Office Suite; experience with ERP or CRM systems is a plus.
  • Ability to work in a fast-paced environment and manage multiple priorities.
