Job description

Job Scope:

Reception Duties

  • Provide support to all incoming phone calls and on-site visitors.
  • Maintain tidiness.
  • Issue & collect Visitor’s Access Cards.

Administrative Support:

  • Provide comprehensive administrative assistance and coordinate closely with internal and external stakeholders.
  • Manage email mailboxes.
  • Prepare and forward notifications and announcements.
  • Handle local hotel, restaurant, and transportation reservations.
  • Manage postage and courier services.
  • Support internal events.

Office Management:

  • Assist in the day-to-day operations of the office, ensuring a well-organized, efficient work environment.
  • Manage and coordinate maintenance, liaising with vendors.
  • Oversee office stationery and pantry items.
  • Manage company cards (e.g., Starbucks, Ezlink).
  • Oversee vending machine supplies.
  • Order books and magazines.
  • Manage communication devices.
  • Verify and process invoices.

Employee Onboarding / Offboarding:

  • Prepare welcome packs, desk nameplates, and business cards for new joiners.

Document Management:

  • Maintain and organize company records, both physical and digital, ensuring accurate and up-to-date documentation.

Customer Service:

  • Serve as a point of contact for internal and external inquiries, providing exceptional service and resolving issues promptly and professionally.

Team Collaboration:

  • Work closely with team members to provide support and contribute to a positive, collaborative workplace culture.

Requirements:

  • Diploma in Business Administration or a related field.
  • Previous experience in an administrative or office support role is preferred. However, motivated individuals who enjoy working on diverse tasks in a corporate environment are also welcome.
  • Good organizational, time management, problem-solving, and interpersonal skills.
  • Proficient in computer literacy and MS Office applications, including Excel, Word, PowerPoint, SharePoint, and Outlook.
  • Good spoken and written communication skills in English.
  • IT/Technical savvy, with prior experience in automating work processes; basic knowledge of Microsoft Power Automate is a plus.
