Job Description

We are seeking candidates who are resilient, adaptable, critical thinkers with problem-solving skills, effective communication abilities, and commercial awareness to oversee and manage daily association management services (AMS) operations and event management covering pre-event planning, event execution, and post-event management.

Job Responsibilities

  1. Managing and servicing client organisations and stakeholders.
  2. Membership Services and Support - Handling enquiries, requests, and invitations; processing membership applications; coordinating membership renewal drives; and maintaining and updating the membership database.
  3. Board, Committee, Subcommittee and Annual General Meetings - Coordinating and arranging meetings; preparing Notes of Meeting; following up on action plans; collating meeting attendance and quorum; preparing meeting slides and documents; and preparing Minutes of Meeting and follow-up actions.
  4. Events and Training Courses - Planning, coordinating, and managing events & training courses; liaising with venue partners, speakers, sponsors, and the organising committee; overseeing catering services; managing registration and payments; and preparing event flyers and post-event reports.
  5. Publications & Website - Managing and posting on the website and social media pages; handling public relations (e.g., managing invitations, drafting letters/responses/invitations); liaising with external parties; and producing, coordinating, and circulating newsletters.
  6. Financial - Reconciling monthly financial statements with payments and events held, and membership renewals.

Job Requirements

  1. A diploma or degree in any discipline with a minimum of 5 years of relevant experience, preferably in organising events and providing secretariat services in a professional/trade organisation.
  2. Pro-active, self-motivated, conscientious, team player, and able to work independently.
  3. Good time management skills; able to multi-task and deliver assigned tasks with quality and timeliness.
  4. Meticulous with good project management skills; able to follow through on implementation of plans.
  5. Good problem-solving skills and a service-oriented mindset.
  6. Excellent interpersonal and communication skills, both written and verbal.
  7. Proficient in MS Office applications.
  8. Possess good working knowledge of social media and website design and management.
