Reports To: Pastor-in-Charge / Admin Manager

Key Responsibilities:

1. Administrative Support:

  1. Oversee daily administrative operations to ensure the office runs efficiently and remains organized.
  2. Maintain church records such as membership databases, meeting minutes, and official documents.
  3. Manage office subscriptions (e.g., OneDrive, Xero, ProPresenter, CCLI) to keep systems up to date.
  4. Handle incoming emails, letters, and phone calls, directing them to the appropriate parties.
  5. Assist with preparing documents for LCEC meetings (agendas, reports, minutes) and follow up on action items.

2. Financial Administration:

  1. Oversee the preparation and review of financial statements, annual reports, and budgets for LCEC.
  2. Ensure organized tracking of income, expenses, and donations, keeping financial records (receipts, invoices, bank statements) up to date.
  3. Oversee and ensure the outsourced bookkeeper processes payments and reimbursements in a timely manner.
  4. Coordinate with the treasurer and auditors to maintain financial compliance and accurate reporting.
  5. Review monthly accounting reports (including bank reconciliations and budget tracking) and assist with budget preparation.
  6. Act as the primary contact for auditors, bankers, and other external financial partners.

3. Human Resource Management:

  1. Oversee records for staff leave, off-in-lieu, and attendance using established systems.
  2. Coordinate scheduling and tracking of work hours and leave balances with staff.
  3. Support the onboarding of new team members by preparing necessary documentation and orientation materials.

4. Office & Systems Management:

  1. Develop and maintain efficient systems for secure document storage and retrieval.
  2. Manage vendor relationships and contracts for office supplies and services.

5. Compliance & Governance:

  1. Assist the Governance Committee in ensuring compliance with church policies, government regulations, and denominational requirements.
  2. Prepare and submit required reports or documentation to relevant authorities as needed.

6. Communication & Coordination:

  1. Serve as the central point of contact for administrative matters within the church.
  2. Facilitate clear communication between staff, church leaders, and committees.

Qualifications & Skills

  1. Diploma or degree in Business Administration, Accounting, or a related field.
  2. 2-3 years of administrative experience, preferably within a church, nonprofit, or similar setting.
  3. Experience or familiarity with financial management and HR practices is a plus.
  4. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software (e.g., QuickBooks, Xero).
  5. Familiarity with HR management systems or leave tracking software is beneficial.
  6. Knowledge of church management software is an added advantage.
  7. Excellent organizational, time-management skills with strong attention to detail and strong analytical skills.
  8. Good interpersonal and communication abilities.
  9. Discreet and trustworthy, with the capacity to handle confidential information.
  10. Proactive and resourceful in problem-solving and decision-making.
  11. A deep commitment to the church’s mission and values.
  12. Capable of working both independently and collaboratively as part of a team.

Working Hours:

  1. Full-time role with occasional flexibility required for evening meetings or events.
  2. Expected to work at least 1-2 Sundays per month.

Compensation:

  1. Salary commensurate with experience and qualifications.
