Chief of Staff – Single-Family Office, Singapore
A Singapore-based Family Office is seeking a highly capable Chief of Staff to support a high-profile entrepreneur. This unique opportunity offers a dynamic, fast-paced environment where you will play a pivotal role in managing the personal, operational, and logistical aspects of the Principal's life.
Reporting directly to the Principal, you will oversee private household staff, manage luxury properties, coordinate complex travel arrangements, and orchestrate high-level meetings and events. This role demands a trusted advisor who can execute with unwavering discretion and professionalism.
Key Responsibilities will include:
Principal Support and Concierge Services
- Work closely with the Principal to address both personal and professional needs, including sourcing premium goods, specialized services, and exclusive experiences.
- Act as a key advisor and concierge, ensuring all requests are handled with precision, confidentiality, and utmost care.
- Anticipate and proactively address the Principal's needs, offering strategic solutions.
Private Staff Management
- Direct and manage the Principal’s private staff, encompassing personal assistants, culinary staff, and household managers.
- Establish and maintain clear operational procedures, schedules, and performance expectations.
- Manage recruitment, onboarding, and performance reviews to ensure exceptional service standards.
Property Management
- Oversee the maintenance and operations of multiple high-end properties, ensuring impeccable condition.
- Coordinate property renovations, interior design projects, and fit-outs, effectively liaising with contractors and designers.
- Manage property budgets, contracts, and schedules, ensuring efficient and cost-effective execution.
Travel Coordination
- Arrange and manage all domestic and international travel logistics for the Principal and support personnel, including private aviation, accommodations, and ground transportation.
- Develop detailed travel itineraries and manage real-time adjustments for seamless execution.
- Organize complex travel arrangements for events and personal trips involving multiple participants.
Meeting and Event Management
- Plan and execute meetings, events, and private dinners with meticulous attention to detail.
- Manage venue selection, catering, guest lists, and logistical arrangements to create exceptional experiences.
- Coordinate with external vendors and service providers for flawless event execution.
Project Management
- Manage special projects, including property enhancements, significant acquisitions, and bespoke initiatives.
- Serve as the primary point of contact for vendors, contractors, and service providers, ensuring high-quality outcomes.
- Manage budgets, timelines, and deliverables, providing regular updates to the Principal.
Operations
- Maintain accurate and secure records of contracts, property details, and financial documentation.
- Coordinate with the Family Office on payment processing, contract reviews, approvals, and other operational matters.
Problem-Solving and Adaptability
- Address challenges and unexpected situations with creativity and efficiency, providing proactive solutions.
- Manage ad-hoc requests and unforeseen issues with professionalism and discretion.
Qualifications and Skills
- Extensive experience as a Chief of Staff, Senior Executive Assistant, or in a similar operational role within a private family office or high-net-worth environment.
- Proven expertise in private staff management, property management, event coordination, and complex travel planning.
- Demonstrated ability to successfully organize high-profile events such as dinners, meetings, and gatherings.
- Exceptional organizational and multitasking abilities with a keen eye for detail.
- Proficiency in utilizing technology and software for scheduling, communication, and reporting.
- High level of discretion, professionalism, and commitment to confidentiality.
- Willingness and ability to travel internationally.
- Fluent in written and spoken English.
