Associate Executive, Orthopaedic Surgery/ Hand & Reconstructive Microsurgery

Job Function: Administration

You will provide administrative support to the Head of the department of Orthopaedic Surgery and Hand & Reconstructive Microsurgery and the departments. You will be the main liaison between departments to ensure the smooth running of the departmental administrative duties to facilitate seamless delivery of clinical care.

Responsibilities

  1. Maintain HOD and Group Chief Director’s calendar to schedule and confirm appointments, meetings, and other official engagements.
  2. Ensure operational efficiency of the department office. Constantly seek opportunities to improve workflows and systems in the office administration.
  3. Design the structure of filing systems for the department, clinical services, or programme.
  4. Provide administrative support for the running of the clinical services & programme.
  5. Collate, organize, and prepare data for analysis and presentation for clinical services and programme.
  6. Prepare, organize, and upload publicity & communication documents on the intranet and websites.
  7. Manage the clinical services and programmes day-to-day independently.
  8. Process purchase orders and requisite forms for departmental purchases.
  9. Prepare for meetings, including materials and attendees, and record minutes.
  10. Provide administrative support in assigning and printing medical reports.
  11. Provide administrative support in printing and distribution of implant cards.
  12. Support the Head of Orthopaedic Surgery and Hand & Reconstructive Microsurgery in the approval of claims and leave and ensure proper documentation.
  13. Support the department in the onboarding process of doctors.
  14. Publish the on-call roster on the intranet upon receipt from the doctors.
  15. Organize and coordinate meetings for senior management.
  16. Enable the departmental training and CME events to be conducted smoothly with the timely uploading of CME points.
  17. Organize and coordinate events (public forums and workshops) independently with internal and external parties. Answer queries about the event from sponsors, targeted audiences, and staff proficiently.
  18. Support the Associate Dean's office with MBBS examinations.
  19. Any other duties as assigned by the departments.

Requirements

  1. GCE ‘A’ Level, Diploma, or equivalent.
  2. Healthcare background is an added advantage.
  3. Must be proficient in English and possess good PC skills.
