Summary:

This position is responsible for facilitating the end-to-end sourcing process which includes reviewing the sourcing specifications, doing the preparatory groundwork for purchase or rental from external services/facilities providers, raising the Purchase Order (PO), and overseeing a team of Procurement Executives.

Essential Duties/Responsibilities:

  • Lead the procurement process by reviewing sourcing specifications, sourcing suppliers, comparing quotes, conducting background reference checks, and proposing the best procurement option for the company.
  • Prepare and ensure Purchase Orders are raised accurately and in a timely manner.
  • Work closely with budget owners and upload documents in the system.
  • Source for equipment and repair services, negotiate for favorable terms and the most competitive pricing, and obtain tax invoices before payment is processed.
  • Ensure deliverables are in line with the contract terms and provide weekly status updates.
  • Update and maintain records of all orders, payments, and received stock.
  • Provide management with data and reports related to purchasing activities.
  • Summarize data and prepare various reports on purchasing activities as well as cost analysis on different categories.
  • Work closely with Finance to make payments to suppliers in accordance with agreed terms.
  • Ensure compliance with procurement policy and seek approval as per the Delegation of Authority Manual.
  • Establish sound relationships with suppliers, ensure lead times are met, and expedite outstanding orders.
  • Assist the Director of Operations in overseeing procurement activities, tracking team performance, and ensuring adherence to company policies.
  • Lead and manage a team of procurement executives, efficiently delegating day-to-day tasks.
  • Train and guide team members on procurement best practices.
  • Provide timely reports to the Director of Operations on a weekly basis.
  • Support strategic planning by preparing comprehensive analyses of purchasing data to identify cost-saving opportunities.
  • Maintain a high level of communication with internal and external stakeholders to ensure alignment on procurement priorities.

Position Requirements:

  1. Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
  2. Minimum 5 years of work experience in the field of Procurement Management, preferably with 3 years in a managerial or supervisory capacity.
  3. Strong negotiation, analytical, and problem-solving skills.
  4. Strong stakeholder management to meet tight timelines.
  5. Proficiency in procurement software and Microsoft Office Suite (Excel, Word, PowerPoint).
  6. Excellent interpersonal and communication skills.
  7. Ability to work independently, exceptional time management, and manage multiple tasks effectively.
  8. Ability to work under pressure and meet deadlines.
