Job description

This position supports the Venue Lead/Senior Manager to manage operations of the venue by overseeing the different aspects of business (such as budget management, stakeholder engagement, event, and daily ops management) by building strong rapport and working relationships with internal and external stakeholders and maintaining a “can do” attitude to deliver a successful outcome that is in accordance with organizational goals.

Roles & Responsibilities

  1. Venue Operation Management
  • Review all National Sports Association (NSA) schedules in Kallang Football Hub and/or Kallang Tennis Hub by tracking the total hours of the Elite Athletes training (EAT) based on the schedule received from NSAs to OBS and SharePoint.
  • Lead and initiate monthly scheduled/informal meetings/sessions with NSAs and internal stakeholders to evaluate daily operational issues.
  • Track the number of advance bookers and displacement due to the event and coordinate and reschedule the bookings for the next available dates.
  • Conduct training for frontline staff in conducting venue readiness checks and handling customer bookings.
  • Consolidate yearly footfall and revenue and make recommendations for venue improvement to management.
  • Identify external contractors, administer purchase orders, and obtain monthly quotations for repairs and purchase of office and sports equipment.
  • Appraise suitable candidates for the role of interns in Kallang Football Hub and/or Kallang Tennis Hub by conducting, arranging interviews, and reviewing suitable candidates.

2. Program Management

  • Evaluate the program conducted in Kallang Football Hub and/or Kallang Tennis Hub and improve program delivery by working with program partners.
  • Establish timeliness with marketing and launch of the new program with internal stakeholders such as marketing and ICT department.
  • Supervise the program implementation by working with the program partner to ensure the safety and security of the participants.
  • Identify areas of improvement with internal FM to ensure the venue space and equipment are ready for the program.

3. Facilities Management

  • Supervise the part-timers to ensure daily checklists for safety and cleanliness are done and submitted.
  • Plan and conduct sports equipment checks with external contractors for sports equipment repairs and maintenance.
  • Liaise and coordinate equipment storage and movement with NSAs during event displacement and changeover of elite athletes training (EAT) to public bookings.
  • Coordinate with internal facilities management to lead the stringent checks and requests from the public and NSAs.

4. Event Management

  • Lead the event team and work with client/hirer to understand event requirements and develop variable costs, create timelines, and manage event safety and logistics requirements such as event staff deployment, medic, audiovisual (AV), and equipment placement requirements.
  • Execute and oversee the event by ensuring all requirements are in place by conducting and directing event staff-crowd safety officers, and AV staff on the event requirements.
  • Evaluate the success of the event, gather feedback from internal stakeholders and the hirer, and make recommendations for future improvements.
  • Establish and improve the standard operational procedure for planning and implementing events in Kallang Football Hub and/or Kallang Tennis Hub.
  • Communicate the event plan to internal stakeholders and event hirer to establish SOP on event day to ensure everything runs smoothly and troubleshoot any issues that may arise.

5. Financial Management & Reporting

  • Forecast yearly repairs and maintenance budget, 6 months before the new financial year.
  • Responsible to ensure event documentation is prepared as per SOPs including event plans, event licenses and approvals, financials and after-action reviews.
  • Develop proposals and present as needed on key venue initiatives, programmes and trends with detailed analysis and recommendations.
  • Ensure Venue Operations Manual, Venue Handbook and Standard Operating Policies & Procedures are developed and updated as required for a world class venue.

Requirements

  • Degree from an accredited university, sports and leisure industry, event management, aquatic management is preferred.
  • Minimum 2 to 4 years’ experience in sports and leisure industry, event management experience is preferred.
  • Experience in Venue or Programme management and experience is considered as an advantage.
  • Proficiency in EBMS is an advantage.
  • Valid CPR, First Aid and AED certification is an advantage.
