Job description

Our client, a leading shipping MNC, is looking for an Assistant Manager, Office Administration to join the team.

Responsibilities:

  1. Manage office operations in general
  2. Oversee business travel arrangements and hotel bookings
  3. Enhance the productivity of Administration workflow (Digitization)
  4. Contract and vendor management (i.e. vehicle leases, contract driver, service apartment, etc.)
  5. Act as the office's tenant in managing the tenancy agreement, sublease, and rental arrangement with the group companies.
  6. Asset management (e.g. office facilities, furniture, corporate mobile phone, etc.)
  7. Manage the general operation of shared office, reception, meeting rooms, lounge, and common area.
  8. Correspond with the building management office (including season parking renewal) and vendors (i.e. contractor, furniture manufacturer, etc.)
  9. Plan, organize, and coordinate group company events (i.e. year-end parties, functions, town-hall meetings, receptions, etc.)
  10. Group servicing arrangements/contract management with third parties and vendors.
  11. Facilities management, which includes managing in-house office cleaners and outsourcing contractors (i.e. cleaners, receptionist, pantry vendors, and any other maintenance vendors).
  12. Manage and attend the Group's Annual Building Power Shut Down, Fire Evacuation Drill, and other security and safety events (required to work on weekends for Annual Power Shut Down).
  13. Take the lead in organizing, redesigning the layout, and coordinating office renovation.

Requirements:

  1. Bachelor’s Degree in Business Administration and Management, or a related field.
  2. Minimum of 8 years’ experience in Administrative/General Affairs management.
  3. Strong leadership, time management, computer literacy, organizational skills, strategic planning, interpersonal skills, and resourcefulness.
  4. Possess good interpersonal and communication skills.
  5. Pleasant, proactive attitude, hands-on experience, and able to work with people across all levels.
  6. Fast learner, meticulous, and able to multi-task.
