THE ROLE: Assistant Manager, Events Management

Kaplan Singapore is seeking a creative and results-driven Assistant Manager, Events Management, to lead the planning and execution of key institutional events such as Open Houses, Graduation Ceremonies, and Launch Events. In this role, you will ensure seamless event delivery through meticulous planning, effective multi-stakeholder coordination, and on-site leadership. You will also be responsible for aligning cross-functional teams, managing budgets, and upholding Kaplan’s high standards to deliver exceptional event experiences. Roles and Responsibilities:

  • Event Planning and Management
    • Develop and oversee detailed plans for Open Houses, Graduation Ceremonies, Launch Events, etc., ensuring timelines and objectives are met.
    • Manage logistics, including venue selection, setup, audiovisual requirements, and vendor contracts.
    • Prepare comprehensive event briefs to guide all involved teams.
  • Content Production and Management
    • Collaborate with internal stakeholders to conceptualise and produce event-related content, including promotional materials, event programmes, video scripts, and digital assets.
    • Coordinate on-site content creation, such as event photography and videography, to capture key moments and ensure high-quality outputs.
    • Oversee post-event content, including highlight reels, testimonials, and reports, to support ongoing marketing efforts and internal reviews.
    • Ensure branding and messaging consistency across all event-related materials.
  • Stakeholder Coordination
    • Work closely with internal teams such as Recruitment, Admissions, Academic, Facilities and Programme Management teams to achieve event goals.
    • Engage and manage external vendors for services such as catering, décor, and audiovisual support.
    • Act as the primary point of contact for all event-related activities and communications.
  • Team Briefing and Leadership
    • Conduct pre-event briefings to align stakeholders on roles, responsibilities, and expectations.
    • Lead on-ground execution teams during events, ensuring smooth operations and addressing challenges in real time.
    • Facilitate post-event reviews and debriefs to gather feedback and improve future events.
  • Budget and Resource Management
    • Develop and manage event budgets, ensuring efficient allocation of resources.
    • Track expenses and prepare financial reports post-event.
    • Identify opportunities for cost optimisation while maintaining quality standards.
  • Quality Assurance and Feedback
    • Ensure event branding, setup, and guest experience meet institutional standards.
    • Collect and analyse feedback from attendees and stakeholders to continuously refine future events.
  • Risk Management and Compliance
    • Identify potential risks and develop contingency plans to mitigate disruptions.
    • Ensure all events comply with safety regulations, institutional policies, and contractual obligations.
  • Support any other tasks as assigned by Supervisor or Head of Department
    • Assist in ad hoc projects that align with the institution’s broader marketing and recruitment objectives.
    • Respond promptly to any last-minute content needs or adjustments, ensuring flexibility and responsiveness to meet evolving marketing goals.

Requirements:

  • Bachelor’s degree in Events Management, Marketing, Communications, or a related field.
  • Additional certifications in Event Planning or Project Management (e.g. CMP, PMP) are advantageous but not mandatory.
  • Minimum 3-5 years of experience in event planning, content production, or project management
  • Proven track record of managing large-scale events.
  • Experience with content production, including creating event materials and multimedia assets.
  • Strong leadership and team management skills, with experience coordinating multi-stakeholder teams.
  • Flexibility to work evenings and weekends during event periods as required.
  • Familiarity with risk management and safety compliance protocols
  • Knowledge of budgeting and financial management for events
  • Basic skills in design tools e.g. Adobe Creative Suite, Canva) along with familiarity with video editing software for producing engaging multimedia content.
  • Event management tools (e.g., Eventbrite) and project management software
