Key Responsibilities

Event Planning and Coordination:

  • Overseeing the operations of the venue
  • Events coordination and operation including logistics
  • Managing bookings and administrative tasks
  • Managing and addressing unforeseen event issues, handling complaints
  • Strategizing for the success of a venue, including planning and implementing strategies to stimulate income generation and efficiency, including conducting direct sales.
  • Cultivating and managing relationships with clients and ensuring customer service
  • Presenting & acting as Duty Manager for Events (may need to work after office hours, on weekends/PH)
  • Event reporting, booking rates review, market research
  • Preparation of event management reports (including fee management)
  • Any other ad-hoc duties as assigned

Facilities Management:

  • Tenant and customer management
  • Defect management
  • Internal and external stakeholder management
  • Supervising and coordinating with appointed service providers and vendors to ensure the smooth operation of the buildings and amenities

Administrative and Operational Duties:

  • Maintaining accurate records of events and operations, feedback, and other relevant metrics.
  • Preparing reports and analysis on outcomes and office operations.
  • Filing and maintaining relevant documentation
  • Liaising with vendors on any procurement-related tasks
  • Supporting the vendor creation process to ensure fast and smooth service is provided to all vendors
  • Utilizing data to make recommendations for improving effectiveness and operational efficiency

Requirements:

  • Bachelor’s degree/diploma in Facilities Management, Business Administration, Event Management, Communications, or related fields.
  • 5 to 7 years of relevant experience with some exposure/experience in a supervisory role.
  • Proven track record in building operations and end-to-end event management, including planning, coordination, execution, and driving participation.
  • Excellent interpersonal, communication, stakeholder engagement, and management skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong time management, organizational, and problem-solving skills.
  • Good interpersonal skills with the ability to communicate well at all levels.
  • Excellent verbal and communication skills with a good command of English.
  • Strong analytical and presentation skills.
  • Team player with a high degree of initiative and able to work independently.
  • Proficient in office software applications including MS Office, Excel, and PowerPoint.
  • Analytical, meticulous, and able to handle sensitive information with confidentiality and professionalism.
