Job description

The Assistant IT Project Manager will play a crucial role in supporting the execution of key IT transformation initiatives, ensuring the successful implementation of IT adoption programs across the organization. The Assistant Project Manager will work closely with cross-functional teams, stakeholders, and vendors to facilitate project coordination, tracking, and execution.

Scope

The scope includes event management, program and project management, and services adoption activities, including but not limited to:

  • Coordinating and facilitating IT project meetings, tracking progress, and following up on action items.
  • Assisting in the preparation of presentations and reports for project updates and IT adoption performance tracking.
  • Supporting stakeholder engagement efforts to drive awareness and smooth technology adoption.
  • Collaborating with IT teams and vendors to develop self-service resources and support materials for end-users.
  • Organizing training sessions and workshops to enhance productivity and collaboration across teams.
  • Monitoring the effectiveness of IT adoption strategies and optimizing processes accordingly.
  • Providing logistical and coordination support for IT-related events to ensure smooth execution.

Responsibilities

  • IT Adoption
    • Support the development and execution of IT adoption strategies.
    • Facilitate communication, organize training sessions and workshops to enhance technology adoption.
    • Develop survey (using MS Forms) to collect feedback and measure adoption effectives
    • Plan and conduct training or demo sessions and prepare educational resources to educate staff on IT& AI tools, such as MS 365 apps, Copilot, etc.
    • Monitor and analyze staff usage of implemented tools, generating reports and insights on adoption patterns and areas for improvement.
    • Collaborate with relevant stakeholders to address any gaps and promote continuous learning and development.
  • Project Coordination & Execution
    • Assist in managing new IT projects, coordinating project activities, and ensuring adherence to timelines
    • Facilitate communication and collaboration among cross-functional teams, stakeholders, and project members to ensure effective information flow, timely decision-making.
    • Coordinate with internal and external teams to track progress.
    • Assist the Supervisor to maintain comprehensive project documentation, including progress reports and risk assessments.
  • Stakeholder Engagement & Communication
    • Work closely with key stakeholders to identify IT requirements and align solutions with business needs.
    • Provide project status updates and facilitate discussions to ensure alignment.
    • Gather feedback from users to improve technology adoption and IT service delivery.
  • Event management
    • Coordinate the booking of suitable venues and liaise with stakeholders on event requirements.
    • Manage collaboration with external vendors, partners, and internal support functions (e.g., M&E, Facilities Management, Service Desk) to ensure venues are adequately equipped and set up.
    • Ensure smooth execution of events, including IT adoption awareness sessions and workshops.

Qualifications

  • Diploma or Bachelor's degree in Information Technology, Computer Science, or a related field (or equivalent work experience).
  • Strong analytical, organizational skills and problem-solving abilities and a keen attention to detail to identify and resolve project issues.
  • Proven experience in project administration, preferably in IT systems implementation.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and stakeholders at all levels.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficiency in Microsoft 365 Office and apps, with strong competency in Excel being a mandatory requirement.
  • Experience with project management methodologies and tools.
  • Excellent organizational and time management skills, with the ability to handle multiple projects simultaneously.
  • Professional certifications in project management (e.g., PMP, PRINCE2) are highly desirable.
  • Prior experience in IT adoption initiatives and/or digital transformation effort is highly desirable.
