Join us as Assistant IT Manager, you will be responsible for ensuring that the hotel computer system(s) are installed and operating properly, that system security measures are in place, that the computer hardware is well maintained, that the system(s) are utilized to their maximum potential, and that new systems are installed to improve hotel efficiency and profitability, and adhere to hotel and IHG standards and guidelines.
Duties and responsibilities
FINANCIAL RETURNS
- Works with Director of Finance & Business Support in the preparation and management of department’s budget.
PEOPLE
- Responsible for training selected champions from other departments for each IHG approved system.
- Serves as the primary associate with all IT-related vendors.
- Communicates to departments on current IT related issues and new releases / trends / features etc.
- Ensure program applications or enhancements meet specific hotel needs and are supported by existing standards prescribed by IHG corporate office.
GUEST EXPERIENCE
- Manages and monitors the operation of all computer hardware, ensures all systems needed to provide ultimate guest experience are working and installed properly.
- Adhere to hotel IT brand standards.
- Recommends and implements IT related services which enhance guest experience.
RESPONSIBLE BUSINESS
- Overseeing and determining timeframes for major IT projects including system updates, upgrades, migrations and outages.
- Evaluate existing internal control measures that apply to accounting procedures and computer systems as per IHG Policies and Procedures.
- Ensures that all systems are covered by the proper maintenance contracts and that preventive maintenance is performed as required.
- To be familiar with IHG-approved systems and technology and those that may contribute to improve hotel efficiency, including, but not limited to:
- Computer Hardware systems and devices including PC LAN technology.
- Software operating and utility systems.
- Property Management Systems and its interfaces with other systems.
- Internal and External Electronic Mail / Scanner software and communication tools.
- Concerto / IHG Rewards Club LPU & LCU.
- Point Of Sale Systems.
- PABX systems and Call Accounting System.
- Hub / Router & Network Cabling/ Switch Management Systems.
- Electronic Door Locking Computer System.
- Computer Virus protection & Hotel IT Security and Firewalls.
- Maintain an up-to-date list of all computer hardware and software.
- Manages the configuration reports, job control languages, program files and data files on the computer system(s) to ensure maximum operating efficiency.
- Investigates and reports software problems to the vendor, or to the Regional, Area or Corporate Office.
- Establishes documents, test and communicates appropriate disaster recovery emergency procedures to follow when the hotel computer system(s) are inoperable.
- Ensures that all computer media saves and back-ups are completed, documented and stored per IHG specifications.
- Controls the key/lock for computer room and ensures that the computer room fire protection, temperature control, and power requirements meet the IHG security specification as described in the IHG security system.
- Administer and maintain all user information such as User IDs and passwords.
- Ensure security standards for all IT related system utilities and critical library.
- Maintains technical and user documentation and systems report, in a neat, orderly and secure fashion.
- Performs special project/other duties as assigned by the Management.
- Conduct regular checks and self-Audit on systems, security and emergency procedures according to the Hotel and Financial System Security Manuals and materials supplied by the Regional Manager of IT.
- Follows-up on all outstanding points from the latest EDP audit of his/her hotel.
- Ensure IT related security incidents and accidents are logged, investigated and rectified to prevent future cases.
- Keeps informed of the latest, updated, changes, enhancement and development in the hotel computer field by subscribing to periodicals and attending seminars, workshops or conferences held by IHG, IT companies or vendors.
- Demonstrate Awareness of OH&S policies and procedures and ensure all procedures are conducted safely and within OH&S guidelines and ensure your direct report do the same.
- Be aware of duty of care and adhere to occupational, health and safety legislation, policies and procedures.
- Be familiar with property safety, first aid and fire and emergency procedures and enforce these in your areas.
- Initiate action to correct a hazardous situation and notify supervisors of potential dangers.
Qualifications and Requirements
Bachelor’s degree or professional certification in Computer Science, Information Technology or related field, with 2 years’ related work experience. Demonstrated ability to interact with guests, colleagues and third parties that reflects highly on the hotel, the brand and the Company. Possesses problem solving, reasoning, motivating, organizational and training abilities.
- Enquiring mind with an understanding of innovation and guest experience and the challenges involved in implementing successful change within the hotel operation.
- High degree of personal drive, self-starter and able to work independently without regular direct management.
- Strong communication skills, both written and verbal; articulate, persuasive & influential; systematic and timely.
