Job description

Assistant Head of Operations & Development

  • Working hours: 5 days, 9:00am – 6:00pm
  • Location: Buangkok
  • Salary: $4300 - $5000


Responsibilities:
Management Function

  • Supervise the daily operations in the Hostel according to the SOPs.
  • Ensure Youth Work Associates (YWAs) and Night Residential Care Worker (NRCW) understanding and alignment of practice with the overall philosophy.
  • Oversee staff relationship with residents and stakeholders.
  • Manage staff morale, motivation and discipline in the department.
  • Monitor and develop staff competency and training in order to fulfill their evolving roles and responsibilities in the department.
  • Assist HOD to manage budget and manpower allocation.
  • Lead and support departmental meetings as necessary.
  • Deliver Trauma-informed practices in daily staff and residents interactions/management.
  • Coach and mentor new employee onboarding effectively with accurate and timely documentation records.
  • Responsible for achieving Department goals.
  • Ensure work goals are aligned with Department goals.

Role Function

  • Cover the role of the shift staff when necessary.
  • Effective and fair roster planning to cater to the needs of the daily operations.
  • Ensure adherence to the SOPs in the daily operations of the hostel.
  • Coach YWAs and NRCWs to perform their roles effectively.
  • Coordinate with other Departments when necessary.
  • Manage and oversee all documentation required for the department.
  • Assist HOD in preparation and submission of Monthly/Quarterly reports.
  • Assist HOD in managing crafting/reviewing/amending SOPs as required.
  • Oversee all investigations and review investigation process/approach/techniques (Discipline Committee Chair).
  • Oversee all processes in the hostel (e.g. approved/prohibited items list/confiscated/safekeeping/remand items/body check/property check/dorm check).
  • Oversight on departmental portfolio progress.

Development Function

  • Assist HOH/HOD in roles and functions which are assigned.
  • Assist HOD in planning the development of the YWA and NRCWs in the department.
  • Assist HOD in reviewing current and implementing new processes to meet requirements of the Ministry.
  • Identify and attend courses/training for personal and professional growth and development.

Taskforce Involvement

  • Able to lead taskforces within the department.
  • Able to represent the department to contribute in inter-department/inter-division taskforces.

Requirement:

  • Degree or Diploma with at least 2 years of management experience.
