Job description

Duties and Responsibilities

  • Support daily clinic operations: Assist with patient flow, maintain clinic cleanliness and organization, and ensure adequate staffing during operational hours
  • Optimize operational efficiency: Review and streamline processes, troubleshoot issues, and liaise with suppliers to ensure smooth and efficient operations
  • Maintain equipment and resources: Ensure all equipment is in working order, manage stock levels, and assist with ordering supplies
  • Promote a positive work environment: Monitor staff for compliance with procedures, foster teamwork, and contribute to a positive and supportive clinic atmosphere
  • Perform administrative tasks: Assist with month-end reporting and other administrative duties as assigned.
  • Manage patient communication: Handle all inbound inquiries (phone & email), manage messages, schedule appointments, and address patient questions/concerns
  • Maintain patient records: Register new patients, ensure records are accurate and up-to-date, check medical history and allergies
  • Provide administrative support: Generate reports, monitor cases, process payments and claims, liaise with dental labs, prepare presentations, and locate patient files
  • Ensure operational efficiency: Adhere to and maintain call center SOPs, follow up on Invisalign cases, and manage escalated cases promptly
  • Other adhoc duties.

Requirements

  • At least 3-5 years of experience in a dental clinic
  • Proven track record of successfully managing and motivating a team
  • Comprehensive knowledge of dental procedures, terminology, and instruments
  • Strong understanding of infection control protocols and dental radiology
  • Excellent communication, interpersonal, and leadership skills
  • Demonstrated ability to problem-solve, make decisions, and manage time effectively
  • Ability to maintain confidentiality and adhere to ethical standards
  • Strong work ethic and commitment to providing excellent patient care
  • Ability to work independently and as part of a team
  • Excellent organizational and multitasking skills
  • Professional demeanor and positive attitude
  • Proficiency in basic computer applications (eg. Microsoft Word, Excel, PowerPoint, etc.)
