Support daily clinic operations: Assist with patient flow, maintain clinic cleanliness and organization, and ensure adequate staffing during operational hours
Optimize operational efficiency: Review and streamline processes, troubleshoot issues, and liaise with suppliers to ensure smooth and efficient operations
Maintain equipment and resources: Ensure all equipment is in working order, manage stock levels, and assist with ordering supplies
Promote a positive work environment: Monitor staff for compliance with procedures, foster teamwork, and contribute to a positive and supportive clinic atmosphere
Perform administrative tasks: Assist with month-end reporting and other administrative duties as assigned.
Manage patient communication: Handle all inbound inquiries (phone & email), manage messages, schedule appointments, and address patient questions/concerns
Maintain patient records: Register new patients, ensure records are accurate and up-to-date, check medical history and allergies
Provide administrative support: Generate reports, monitor cases, process payments and claims, liaise with dental labs, prepare presentations, and locate patient files
Ensure operational efficiency: Adhere to and maintain call center SOPs, follow up on Invisalign cases, and manage escalated cases promptly
Other adhoc duties.
Requirements
At least 3-5 years of experience in a dental clinic
Proven track record of successfully managing and motivating a team
Comprehensive knowledge of dental procedures, terminology, and instruments
Strong understanding of infection control protocols and dental radiology
Excellent communication, interpersonal, and leadership skills
Demonstrated ability to problem-solve, make decisions, and manage time effectively
Ability to maintain confidentiality and adhere to ethical standards
Strong work ethic and commitment to providing excellent patient care
Ability to work independently and as part of a team
Excellent organizational and multitasking skills
Professional demeanor and positive attitude
Proficiency in basic computer applications (eg. Microsoft Word, Excel, PowerPoint, etc.)
