Job description

The Administrator Officer will provide key administrative support within the Marketing and Admissions department, ensuring the efficient operation of student services and the maintenance of student management systems. The role is pivotal in managing student contracts, student pass applications, and related services, while fostering strong relationships with students and staff at Curtin Singapore.

Key Responsibilities:

1. Student Pass Management:

  • Update and maintain accurate student records in the Student Management System.
  • Process Student Pass applications, renewals, and cancellations for each study period using SOLAR+.
  • Ensure all records related to the Student Pass process, including applications, payments, approvals, and formality completions, are maintained in accordance with university policies.
  • Coordinate approvals for Student Pass changes and ensure compliance with policy requirements.
  • Keep current with the latest Student Pass regulations and requirements to ensure timely compliance.

2. Student Contracts:

  • Assist in the preparation, review, and execution of Student Contracts.
  • Ensure all contracts are processed in accordance with Curtin Singapore’s policies and procedures.
  • Maintain up-to-date knowledge on Student Contract policies and regulatory changes to ensure compliance.

3. Administrative Support & Stakeholder Engagement:

  • Ensure the timely circulation of student-related documents to the relevant departments for processing and action.
  • Maintain accurate records of student medical insurance coverage.
  • Provide excellent support to students regarding Student Contracts and Student Pass inquiries.
  • Develop and sustain strong relationships with internal stakeholders and students, fostering a supportive and collaborative environment.
  • Assist in other administrative tasks as directed by the Senior Admissions Officer, ensuring smooth operations within the team.

Selection Criteria:

Essential:

  • A diploma (or equivalent qualification) in a relevant field.
  • Strong communication skills (verbal and written) and the ability to interact professionally with a variety of stakeholders, including students and staff.
  • Proficient in the use of student management systems and various administrative software applications.
  • Demonstrated commitment to delivering high-quality, client-focused service with a focus on efficiency and accuracy.
  • Proven ability to meet deadlines, work independently, and prioritize tasks in a dynamic environment.
  • Excellent organizational and time-management skills with high attention to detail.
  • Initiative-driven and capable of identifying and solving problems proactively.
  • Ability to work collaboratively within a team to achieve departmental objectives.

Desirable:

  • Previous experience in admissions and administrative roles, preferably in higher education.
  • Familiarity with working with international students.
  • Ability to adapt and thrive in a fast-paced, ever-evolving work environment.
