Job description

As an Admin Executive, your primary responsibility is to ensure the smooth scheduling of customer installations and handle inquiries from existing and potential customers. You will play a crucial role in delivering exceptional customer service and maintaining positive relationships with clients. This position involves a combination of administrative tasks, direct communication with customers, and support for general office operations.

Key Responsibilities:

Customer Scheduling & Coordination:

  • Schedule customer installations according to availability and prioritize appointments based on urgency and customer requirements.
  • Coordinate with installation teams to ensure timely arrival and completion of installations, resolving any scheduling conflicts that may arise.
  • Maintain detailed records of customer interactions, including inquiries, complaints, and resolutions, utilizing the company's CRM system.

Customer Support:

  • Respond promptly to customer inquiries via phone, email, or in-person, providing accurate information regarding products, services, and installation procedures.
  • Address customer complaints and concerns professionally, striving to achieve satisfactory resolutions while maintaining high levels of customer satisfaction.

General Administrative Duties:

  • Manage purchasing of office items (e.g., stationery, ordering water).
  • Handle incoming invoices, ensure proper filing, and process them for team review or payment.
  • Check and respond to emails promptly, relaying important information to the relevant teams.

Ad Hoc Responsibilities:

  • Assist in organizing company events, team-building activities, or celebrations.
  • Monitor office supplies inventory and ensure timely replenishment.
  • Coordinate with external vendors for office maintenance and repair services.
  • Prepare basic reports, spreadsheets, or presentations for management as required.
  • Handle shipping and receiving of documents, parcels, or other materials.
  • Maintain cleanliness and organization of the office area (e.g., arranging pantry items).
  • Assist with onboarding of new employees by preparing workspaces and required materials.
  • Keep records of office expenses and submit periodic expense reports.
  • Provide administrative support to other departments when required.

Digital Platform Management:

  • Update and manage the company’s website, TikTok, Shopee, Lazada and other digital platforms to ensure information is current and accurate.
  • Collaborate with the team to promote engagement on social media platforms.

Process Improvement & Collaboration:

  • Proactively identify opportunities to enhance customer service processes and contribute to the continuous improvement of service delivery.
  • Collaborate with other departments, such as sales and technical support, to streamline operations and improve overall customer experience.

Job Requirements:

  • Prior experience in customer service or administrative roles, preferably in industries such as telecommunications, utilities, or technology.
  • Strong organizational and time management skills, with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills (both verbal and written) and a customer-focused mindset.
  • Proficiency in Microsoft Office Suite and CRM systems.
  • Problem-solving skills with a proactive approach to resolving customer needs and issues.
  • Familiarity with managing e-commerce platforms and digital tools (e.g., TikTok, Shopee, Shopify).
  • Flexibility to work a 5.5-day week, including occasional overtime or weekend shifts.
  • Positive attitude, adaptability, and a willingness to learn new processes and technologies.
  • High school diploma or equivalent; additional qualifications in customer service or related fields are a plus.

Working Hours:

  • Monday to Friday: 9:00 am - 6:00 pm
  • Saturday: 9:00 am - 1:00 pm (Half-day, 5.5-day week)

Salary: $2,200.00 - $2,500.00 per month

Job Type: Full-time

Schedule:

  • Weekend availability as needed

Work Location: Onsite
