Administrative Assistant (3 months contract)

Responsibilities

As an Administrator in our healthcare division, you play a crucial role in ensuring the smooth functioning of the ENGIE facilities team.

• Oversee daily operations and manage the day-to-day administrative operations of the hospital.
• Coordinate with facility team and site team to ensure efficient workflow.
• Assist and support the development and implementation of ENGIE policies and procedures.
• Assist in preparing and monitoring budgets, ensuring costing, billing, and invoices are submitted in a timely manner.
• Prepare and manage employee expense claims, timesheets, and attendance reports.
• Ensure operations team complies with healthcare laws, regulations, and standards.
• Assist in managing operations team resources, including supplies and equipment coordination for site work.
• Maintain accurate records and ensure the confidentiality of staff information.
• Address any operational issues that arise and implement solutions.
• Prepare reports for operations needs and present them to senior management.
• Any other duties as assigned.

Requirements

• Polytechnic Diploma holder and above.
• At least 3 years of working experience in the related field is required for this position.
• Prior experience in construction, healthcare administration, or a similar role.
• Excellent communication and interpersonal abilities.
• Proficiency in MS Office.
• Knowledge of Singapore code of practice and regulations will be an advantage.
• Ability to manage authorities' submissions and reports.
