Job description

We are looking for a Project Administrator to coordinate project activities, including simple tasks and larger plans. You will manage schedules, prepare project reports and documentations, and communicate progress to all team members.

Project Administrator responsibilities include facilitating communications between clients and the project team, preparing and managing required reports and documentation for the purpose of project planning and claims purposes.

For this role, you will work with a team of Project Managers and Project Coordinators, so good communication, collaboration skills, and detail orientation are essential. Ultimately, you will ensure our projects meet quality standards.

Responsibilities

  • Scheduling meetings, preparing agendas, taking minutes, and distributing meeting summaries.
  • Creating and maintaining project documentation, including project plans, reports, and task lists.
  • Creating and updating workflows.
  • Preparing and providing documentation to internal teams and key stakeholders.
  • Ordering resources, like equipment and software.
  • Retrieving necessary information (e.g., user/client requirements and relevant case studies).
  • Utilizing project management tools to track tasks, manage timelines, and generate reports.
  • Measuring and reporting on project performance.
  • Acting as the point of contact between client and project team.
  • Performing other duties or tasks as assigned by immediate superior/Head of Department.

Qualifications

  • Diploma or Higher NITEC in Business Administration or a related construction field.
  • Proven work experience as a Project Administrator or in a similar role.
  • Hands-on experience with flowcharts, technical documentation, and project schedules.
  • Proficient in using project management software (e.g., Trello, Microsoft Project).
  • Strong organizational and time-management skills.
  • Ability to work effectively in a team and contribute to a collaborative environment.
  • Relevant certifications are a plus.
