Job description

Position Overview:

We are seeking an organized, proactive, and detail-oriented Administrative Assistant to support the daily operations of our busy renovation company. The ideal candidate will play a key role in managing administrative tasks, coordinating office operations, and assisting in various aspects of project management. The Administrative Assistant will work closely with the team to ensure that the office runs smoothly and that renovation projects are executed efficiently.

Key Responsibilities:

  • Office Management: Oversee daily office operations, including managing phone calls, emails, and visitor interactions. Ensure that the office environment remains organized and well-maintained.
  • Scheduling & Coordination: Assist with scheduling meetings, appointments, and site visits for project managers and team members. Coordinate project timelines and track deadlines to ensure timely completion.
  • Document Preparation: Prepare, organize, and maintain project documents such as contracts, invoices, change orders, and work orders. Ensure accurate filing and easy retrieval of documents for team members.
  • Client & Vendor Communication: Serve as the main point of contact for clients and vendors, answering inquiries, providing updates, and coordinating necessary communications. Maintain positive relationships with stakeholders.
  • Project Support: Assist with the preparation of project estimates, progress reports, and bid submissions. Coordinate with subcontractors, suppliers, and the internal team to ensure timely delivery of materials and services.
  • Data Entry & Reporting: Manage project databases, enter data, and generate reports related to project progress, budgets, and timelines. Maintain accurate records of project costs and expenses.
  • Procurement Assistance: Help with ordering materials and supplies for renovation projects, tracking deliveries, and maintaining inventory levels.
  • Administrative Support: Provide general administrative assistance to project managers, executives, and other staff, including handling phone calls, filing, ordering office supplies, and maintaining office equipment.

Qualifications:

  • diploma or equivalent; business administration or related field preferred.
  • Proven experience as an administrative assistant or in a similar role, preferably within the construction or renovation industry.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and familiarity with project management software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Ability to handle confidential information with discretion.
  • Knowledge of basic construction or renovation terminology and processes is a plus.

Working Conditions:

  • Full-time position, Monday to Friday. 9am to 5pm
  • Flexible work schedule can work from home if needed.
  • Office environment, with occasional visits to renovation sites.
