Admin Assistant x 1. UBI 5.5 days week (No experience needed)

Job Description
- Administrative Support: Manage day-to-day office operations, including scheduling meetings, maintaining records, and handling correspondence.
- Project Claim Tracking: Proactively trace project claims by liaising with engineers individually to update project status and prepare progress claims.
- Prepare quotations using Xero software, ensuring accuracy and compliance with company standards.
- Basic Administrative Tasks for Project Coordination:
- Inform all relevant parties upon receiving permit approvals.
- Arrange for the purchase of drawings from the Building and Construction Authority (BCA).
- Forward emails from CORENET to the respective project engineer in charge.
- Customer and Client Relations:
- Handle inquiries and maintain good communication with clients and stakeholders.
- Assist with scheduling and tracking project deadlines and liaising with other departments to meet project requirements.
- Coordinate with engineering team members to support their administrative needs.
- Assist in the organization and management of project documents.
Job Requirements:
Minimum 1-2 years of experience in an administrative or accounting role, preferably in an engineering or construction firm.
- Must be able to handle Accounts Payable and Accounts Receivable.
Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with Xero software is a strong advantage.
- Basic knowledge of accounting software (e.g., QuickBooks) is a plus.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and prioritize tasks.
- High integrity and commitment to confidentiality.
- Adaptable and able to manage multiple responsibilities.
