Job description

Job Summary:

The Accounts Admin plays a critical role in supporting the accounts and finance team by managing day-to-day administrative tasks, including handling accounts payable and receivable, processing invoices, maintaining financial records, and supporting customs clearance for the import and export of motorcycles. This role also involves liaising with customs authorities and freight companies, ensuring compliance with regulations and timely clearance of goods.

Key Responsibilities:

  1. Accounts Administration:Maintain accurate records of financial transactions, including accounts payable and receivable.
    Process vendor invoices, verify payment details, and ensure timely payments.
    Monitor incoming payments from customers, ensuring all records are updated and reconciled.
    Assist in the preparation of financial reports and monthly accounts reconciliation.
    Support the finance team with various administrative tasks, ensuring accurate data entry and record-keeping.
  2. Customs Clearance for Imports & Exports:Handle the customs clearance process for the import and export of motorcycles, ensuring compliance with local and international regulations.
    Coordinate with customs authorities, freight forwarders, and clearing agents to ensure smooth processing of shipments.
    Prepare and submit all necessary documents for customs declarations, including invoices, bills of lading, and certificates of origin.
    Ensure that all import/export duties, taxes, and fees are paid promptly to avoid delays or penalties.
    Maintain accurate records of all customs-related documents, ensuring compliance with regulatory requirements.
  3. Invoice & Payment Processing: Prepare and process invoices for customers, ensuring all charges are accurate and aligned with agreements.
    Follow up with customers for overdue payments and resolve any billing-related issues.
    Maintain up-to-date records of payments, including credit and debit transactions.
    Coordinate with banks and payment providers to ensure timely settlement of invoices.
  4. Vendor & Supplier Communication:Communicate with vendors and suppliers to manage accounts, resolve billing discrepancies, and ensure timely delivery of products and services.
    Negotiate payment terms, discounts, and other commercial terms with vendors as necessary.
    Process purchase orders, track deliveries, and ensure that all financial records are updated accordingly.
  5. Tax & Duty Compliance:Assist in preparing and submitting tax filings related to import/export transactions.
    Ensure that all import duties and taxes are paid on time and in accordance with local regulations.
    Maintain detailed records for all customs transactions to support tax and duty compliance audits.
  6. Document Management:Maintain an organized filing system for all financial records, invoices, customs documents, and related paperwork.
    Ensure all documents are readily accessible for audits or financial reporting purposes.
    Support the finance team with document preparation for monthly, quarterly, and annual reports.
  7. General Administrative Support:Provide general administrative support to the accounts and finance team, including filing, data entry, and correspondence.
    Assist in preparing reports for senior management, including financial summaries and statements.
    Perform other administrative tasks as assigned by the finance manager.

Qualifications & Skills:

  • Experience:Previous experience in accounts administration, finance, or a similar role.
    Familiarity with customs clearance procedures, import/export regulations, and documentation.
    Experience in managing invoices, payments, and financial reconciliations.
  • Skills:Strong attention to detail and accuracy in financial and customs-related tasks.
    Good communication skills for liaising with customs authorities, vendors, and suppliers.
    Proficiency in Microsoft Office Suite (Excel, Word, Outlook) or similar accounting software.
    Knowledge of customs documentation, import/export processes, and compliance requirements.
    Strong organizational and multitasking abilities.
  • Knowledge:Basic knowledge of accounting principles and financial record-keeping.
    Understanding of customs regulations and the procedures for importing/exporting goods.
    Familiarity with import duties, taxes, and tariffs as they apply to motorcycles and related parts.

Work Schedule:

Days: 5 working days per week (1 rest day, Sundays & Public Holidays off)

Working Hours: 09:00 AM – 06:00 PM
