Job description

The Accounting Officer / Administrator is a vital position within our organization, tasked with managing the organization's financial operations. This individual is responsible for day-to-day financial activities such as accounts receivable, accounts payable, payroll, ledger reconciliation, budgeting, and more. Not limited to the following:

  • Daily bookkeeping.
  • Reviewing and reconciling accounts.
  • Verifying the accuracy of invoices and/or other accounting documents or records.
  • Processing payments.
  • Updating and maintaining accounting journals, ledgers, and other records detailing financial business transactions (e.g., disbursements, expense vouchers, receipts, accounts payable).
  • Maintaining updated records of invoices and receipts.
  • Entering data into computer systems/software.
  • Compiling data and preparing a variety of reports.
  • Reconciling records with internal company employees, management, suppliers, and/or clients.
  • Recommending actions to resolve discrepancies.
  • Investigating questionable data.
  • Preparing sales quotations and payment vouchers.
  • Monthly invoicing to clients.
  • Following up with clients/suppliers on payments receivables.
  • Communicating and working closely with Management and outsourced Accountants.
  • Managing staff loans/repayments.
  • Processing payroll.

At least 2 years of working experience in the related field is required for this position.

Job Responsibilities:

  • Comply with the company’s plans and vision.
  • Work closely with the management.
  • Ensure that employees understand their duties and/or delegated tasks.
  • Handle paperwork.
  • Prepare and submit reports.
  • Answer and handle queries via phone calls and/or emails.
  • Prepare and/or send quotations and invoices.
  • Maintain organization and detailed records.
  • Strong understanding of bookkeeping procedures and best practices.
  • Impeccable time-management skills.
  • Ability to identify and resolve discrepancies.
  • Comprehensive knowledge of tax filing procedures.
  • Basic arithmetic competency.
  • Remind clients to make timely payments.
  • Identify and address discrepancies in all documentation.
  • Update all databases and spreadsheets.
  • Perform any other ad-hoc duties as required by the management.

Flexible work arrangements can be discussed.

Able to work Mondays to Fridays 9 am to 7 pm (10 hours, inclusive of 1 hour break).
