Technical Warehouse Senior Specialist

Purpose of Job

Jobholders at this level are capable of operating with minimal supervision. They work within guidelines and procedures in order to prepare more complex, specialized or ad-hoc reports in their related field. They contribute to the completion of milestones or operational targets within the assigned functional area. They undertake operational activities including following-up for timely delivery of seized goods, investigating discrepancies in quantity of received seized goods, coordinating security and maintenance and cleaning services within technical warehouses, and drafting related reports.

Job Responsibilities

Technical Warehouse Planning

1. Define and update criteria for general assessment and categorization of training or technical material/ goods to ensure consistent implementation.
2. Develop cost-effective material management plan to ensure effective management and storage of received material.
3. Determine guiding principles for training or technical materials reception and storage in line with existing gaps and leading practices to properly manage stock-in and optimize space utilization.
4. Define indexing and classification standards, codes, methodologies and systems to ensure proper items tracking.
5. Develop strategy to deal with unwanted obsolete, scrap and damaged material.
6. Develop policies related to technical warehouse management including but not limited to safety, security, cleaning, etc.

Technical Warehouse Management

1. Monitor technical warehouse storage ensuring efficient and effective operations, and recommend improvement measures to optimize the use of technical warehouse space.
2. Coordinate logistics and ensure timely delivery of material.
3. Escalate cases of delay to management for timely resolution.
4. Receive and check quantity of received training or technical material against available list, investigate discrepancies.
5. Ensure that received goods/ items have predefined code in the warehouse database and define a new item code for items that do not have a predefined code.
6. Optimize technical warehouse space and accordingly store materials by categorizing them in order to simplify and facilitate referrals and maintain items in good conditions.
7. Release materials from storage when directed, coordinate items movement or destruction and ensure proper dispatch to end user.
8. Record seized goods flow and status in the stock database/ system.
9. Conduct continuous checks on all available items and identify outdated/damaged materials in order to notify management about the issue to take needed action.
10. Coordinate with relevant stakeholders regarding security, maintenance and safety activities within technical warehouses.
11. Develop relevant reports highlighting logistical challenges and storage issues and recommend corrective/ improvement actions.

Organization and Operations

1. Follow all relevant policies, processes and standard operating procedures so that work is carried out in a controlled and consistent manner.
2. Help in solving escalated problems and provide needed support for junior team to ensure work is carried out in an efficient manner.
3. Escalate complex problems to the relevant person to ensure cases/issues are closed properly.
4. Perform other duties as requested.

People Management

1. Train junior staff on the different job activities to ensure transfer of know-how, when applicable.
2. Provide clear direction, prioritize tasks, assign and delegate responsibility, and monitor the workflow of subordinates/ junior staff.
3. Support junior staff or direct reports in order to execute their duties according to set policies and processes.

Bachelor's degree in Business Administration or equivalent is required.

Experience

A minimum of 2 years of relevant experience.
