Job Purpose: The Senior Specialist Logistics is in charge of the day-to-day chartering and operating of vessels and managing Ma’aden dry bulk, containers, and ammonia fleet. He is responsible for the execution of the strategy & initiatives related to shipping and chartering. He also assists in defining the logistics strategy.


The Senior Specialist is responsible for contracting, planning, scheduling, execution, and monitoring of Dry Bulk and Ammonia shipping and other related logistics services. Responsible for related freight market intelligence and related reports, builds strong networks with service providers/shipping industry, calculation of logistics capacity units, comparing planned capacity with contracted capacity; ensuring availability of required logistics capacity.


The scope of the work is all outbound logistics activities related to the Commercial department in Ma’aden’s Phosphate BU with the objective of delivering products in a timely, accurate and cost-effective manner, preserving safety and product quality.


Key Accountabilities:


Logistics Strategy and Planning:


  • Prepare the rolling 5-year outbound logistics plan aligned with BU's overall strategy.
  • Prepare yearly and monthly Business Plans for the outbound logistics department in line with the overall department’s Strategy.
  • Analyze potential logistics solutions to improve fleet utilization in a cost-effective manner, preserving safety and product quality.
  • Prepare business cases to identify optimum fleet solution, fleet utilization, challenge sales product allocation and identify potential logistics issues and prepare mitigation plans.
  • Develop shipping capacity for all products to meet the commercial plan.
  • Estimate new shipment capacity and budgets required.
  • Finalize lifting plan in order to meet the annual commercial plan with minimum logistic cost.
  • Participate in joint negotiations with concerned Ship-Owners/Brokers in the chartering in or out of tonnage and tonnage exchanges, both “Time” and “Spot” charters.
  • Support the manager in the development and implementation of all related procedures, plans, policies, and processes that control the efficient and effective flow of goods from the point of origin to the point of customers and/or end users in order to meet their requirements.
  • Perform studies for all what is related to outbound logistics operations.
  • Responsible for compliance with Ma’aden’s regulatory framework, maritime laws, regulations, and guidelines for shipping (safety, environmental concerns, legal matters, technical cooperation, and maritime security).
  • Identify potential related logistics risks and prepare mitigation plans.
  • Perform effective collaboration and interaction with internal teams (commercial and marketing) and externally with customers, service providers to increase efficiency, quality, accuracy, and on-time deliveries to support Ma’aden overall annual business plan.

Logistics Operations:


  • Align with commercial teams to prepare the weekly, monthly, and quarterly shipments schedule.
  • Inform all parties of shipping schedules and changes as and when they occur in order to ensure on-time delivery.
  • Monitor and assist in analyzing and updating regularly shipping schedules and Ma’aden’s tonnage requirements against the short- and long-term forecasts.
  • Monitor the freight market and analyze the possible impact on the related logistics activities.
  • Provide daily, weekly, monthly, and annual freight market reports.
  • Propose recommendations for Commercial teams on freight cost and logistics solutions.
  • Track and report logistics performance on a regular basis.
  • Verify that all vessels/trucks are used in compliance with international safety standards.
  • Prepare and review all required logistics documents (e.g. charter party, COA's, freight invoices, LOI etc.) to ensure on-time delivery to customers.
  • Support the commercial team by negotiating the vessel nomination procedures under all sales contracts with customers.
  • Coordinate with the legal department to review and validate all related contracts.
  • Plan quantities to be shipped by plant, port, destination, and customer.
  • Evaluate and select logistics service providers.
  • Negotiate and secure required transportation/logistics capacity (vessels, land, warehouse etc.) either under Spot, COA’s or Time charter contracts to ensure on-time delivery at the minimum possible logistics cost.
  • Send vessels and trucks nomination to customers to get the required acceptance before fixing the desired carrier.
  • In case of FOB or FCA shipments, seek carrier nomination from customers for analyzing and risk assessment based on Ma’aden’s requirements then to give the acceptance accordingly and as appropriate.
  • Evaluate and review comprehensive offers received on potential vessels to be chartered in, covering the aspects of economics, ownership, quality of vessels, brokers involved, and any other related issues.
  • Monitor the logistics carrier performance from the time of fixing until the cargo is finally discharged and the carrier is released.
  • Appoint the required surveyors and port captains to supervise the loading and or discharging operations.
  • After completion of loading, prepare the required shipment advice and send it to customers.
  • Align and coordinate with plants, terminals, port operators, brokers, ship owners, port agents, and customers to monitor the progress of the loading, on-voyage, and discharging operations.
  • Calculate the demurrage and/or despatches for each shipment for each load and discharge port.
  • Calculate the freight cost for each voyage and share it with the commercial team as appropriate.
  • Calculate the required fuel (bunker) for each vessel then evaluate the fuel (bunker) service providers.
  • Negotiate the bunker price and monitor the progress of the bunker supply.
  • Process all related payments (freight, bunker, third-party services, demurrage, and despatches) in the system.
  • Align with finance and treasury team to monitor the process of the payments until the payments are finally paid.
  • Follow up with the customers and logistics service providers to collect the required due debts until the amount is finally deposited in the related Ma’aden’s account.
  • Seek approval for new logistics commitments in order to ensure logistics capacity is aligned with future growth plans.

Performance Monitoring:


  • Report to management any deviation in business plan and objectives especially in shipping timeliness, accuracy, and cost in order to ensure execution of each activity as per the business plan and to adjust the business plan to incorporate deviation.
  • Participate in developing performance indexes to improve and optimize the utilization of vessels/terminals/warehouses, as well as establishing policy and guidelines pertaining to Ship-owners/Brokers/Agents in order to suit Ma’aden’s requirements and interest.
  • Assist in reviewing existing systems/methods/procedures for carrying out the day-to-day operations.
  • Monitor, follow-up and/or participate in updating and computing costs of operating vessels/fleet to the main/major destination.
  • Review various other relevant analyses of actual costs versus market levels and provide analysis to the supervisor.

Supplier Relationship Management:


  • Negotiate the shipping and logistics agreements with the shipping companies, brokers, and other service providers.
  • Provide regular feedback on all logistics services.
  • Responsible for tracking contracts’ expiry and negotiating contracts for renewal.
  • Maintain close contact by making continuous visits in order to ensure that shipping companies' performance is in line with or better than the agreement's terms & conditions.
  • Handle all service providers complaints until they are finally resolved.
  • Track KPIs in order to ensure continued service at optimized cost at agreed customer service levels.

Customer Relationship Management:


  • Maintain frequent contact with customers for following up on provided services and potential services developments.
  • Transfer requests for customers' special requirements to Manager.
  • Advise sales of logistics issues in order to maximize customer satisfaction.
  • Handle all customer complaints against service providers until they are finally resolved.
  • Follow up with Legal to finalize the complaint issue if required.

Reporting:


  • Prepare the daily/weekly/monthly/quarterly/yearly logistics reports.
  • Prepare Ma’aden information/reports and presentations regarding logistics performance and for industry conferences/events or as the management may require.

Market Partnerships and Inorganic Growth Opportunities:


  • Consolidate data and prepare analysis for market studies related to freight markets (Dry bulk, liquid, containers, land transportation, etc).
  • Contribute to the Due-Diligence process for relevant activities, in coordination with the Commercial teams, including:
    • Identification of inorganic opportunities and potential partnerships by providing the necessary logistics information.
    • Performing the pre-DD exercise by providing the necessary logistics information.
    • Participate in the DD on logistics and supply chain aspects.
    • Coordinate with the Commercial teams in executing post-merger integration.
    • Provide any logistics market data required for the DD process.

Minimum Qualifications, Experience, and Competencies:


Minimum Qualifications:


Bachelor’s degree in business, supply chain, logistics, or any other related discipline and/or similar.


Minimum Experience:


2+ years of Supply Chain and/or Logistics background in a similar industry/Supply Chain and/or Logistics industry, consulting, or project organization.


  • Proven track record of handling Supply Chain operations and logistics activities in a large organization.
  • Supply Chain and/or Logistics experience for large enterprises, ideally in mining or petrochemical industries organization.
  • Large team experience including multi-team and multi-project responsibilities.
