Job Purpose:
- Commercial Acumen: Having a good understanding of commercial and financial principles, including cost analysis, pricing strategies, profit margins, and risk assessment. This competency involves the requirement to identify any opportunities to maximize profitability for your Line Managers attention.
- Contract Management: Demonstrating good knowledge of contracts and able to provide support to our Line Manager as and when required to assist with reviewing, negotiating, and administration. This will include understanding basic legal terms and conditions, identifying risks to your Line Manager, and ensuring compliance with contractual obligations.
- Tendering Process Knowledge: Having a good understanding of the tendering process, including the ability to prepare tender documents, analyze bid requirements, and provide the necessary assistance during the tender submission process as identified by your Line Manager.
- Analytical Skills: Possessing good analytical abilities to provide support to your Line Manager to assist with evaluating bid documents, performing cost estimations, variations and conducting pricing analysis throughout the Construction Stage. This competency also includes the ability to identify trends, patterns, and opportunities through data analysis and bring these to your Line Managers attention.
- Communication and People Skills: Demonstrating effective communication and people skills to liaise with internal and external stakeholders as instructed by your Line Manager. This includes the ability to present information clearly, negotiate contracts, build relationships, and collaborate effectively with cross-functional teams.
- Attention to Detail: Exhibiting good attention to detail when reviewing and analyzing tender documents, contracts, and financial data. This competency involves ensuring accuracy, identifying inconsistencies, and mitigating potential risks or discrepancies.
- Problem-Solving and Decision-Making: Having good problem-solving skills to identify and address challenges that may arise during the works and bring these to your Line Managers attention. This includes the ability to make informed decisions, propose alternative solutions, and manage conflicts effectively.
- Time Management and Organization: Demonstrating effective time management and organizational skills to handle multiple activities, meet deadlines, and prioritize tasks efficiently in line with your Line Manager's requirements. This competency involves managing competing priorities and maintaining a systematic approach to work.
- Negotiation Skills: Possessing negotiation skills to engage in discussions with suppliers, subcontractors, and other stakeholders. This includes the ability to secure favorable terms, resolve conflicts, and achieve mutually beneficial outcomes in collaboration with your Line Manager.
- Knowledge of Construction Industry: Having a good understanding of the construction industry, including knowledge of construction methodologies, materials, and relevant regulations. This competency involves staying updated on industry trends, market conditions, and emerging technologies.
- Computer Literacy: Being proficient in using computer software and applications relevant to the commercial functions. This includes proficiency in spreadsheet software for cost estimations, document management systems, and other industry-specific software, e.g., Candy, Cost X, Plan swift.
- Adaptability and Resilience: Demonstrating flexibility and adaptability in a dynamic and fast-paced environment. This includes the ability to handle pressure, manage change, and adapt to evolving business needs in line with the requirements of your Line Manager.
Job Responsibilities:
- Commercial Management: Assisting your Line Manager in the commercial management of the projects from start to finish, including preparing and submitting monthly IPA's, preparing, and submitting monthly Subcontractor payment applications & associated tax invoices, coordinating with internal teams, and ensuring compliance with commercial requirements and deadlines.
- Subcontractor & Supplier Bid Comparisons: Analyzing bid documents, evaluating commercial aspects, and conducting cost and price analysis to determine the feasibility and profitability of submissions in line with your Line Manager's requirements.
- Contract Review: Reviewing and analyzing contract terms and conditions, identifying potential risks, and proposing necessary amendments or clarifications to your Line Manager to protect the company's interests.
- Cost Estimation: Assisting in the preparation of cost estimates for construction projects, considering factors such as labor, materials, equipment, subcontractors, and overheads.
- Vendor Management: Liaising with suppliers, subcontractors, and other external stakeholders to gather necessary information, negotiate terms, and ensure compliance with contractual obligations.
- Risk Assessment: Identifying and evaluating commercial risks associated with revised Contract drawings and identifying these changes to your Line Manager.
- Documentation and Reporting: Maintaining accurate records of commercial documents relating to Subcontractors / Suppliers and Variations as directed by your Line Manager.
- Stakeholder Coordination: Collaborating with internal stakeholders, including project managers, engineers, and finance teams, to ensure seamless communication throughout the project(s) process.
- Compliance and Legal Support: Ensuring compliance with relevant laws, regulations, and company policies. Assisting in the resolution of commercial disputes and providing support during legal proceedings, if required.
- Continuous Improvement: Identifying areas for process improvement within the commercial functions, proposing innovative solutions, and implementing best practices to enhance efficiency and effectiveness.
Quality, OH&S and Corporate Standards to Maintain quality of work by:
- Ensuring adherence to company Standards, Policies and Procedures.
- Ensuring that all activities are performed in a safe manner and comply to OH&S requirements.
- Ensuring the relevant QA/QC procedures are followed.
Job Requirements and Experience:
Qualifications:
- Bachelor's degree in quantity surveying or equivalent related field.
- Minimum of (4) years of relevant experience.
- In depth knowledge of standard methods of measurement (SMM7, NRM, POM(I), CESMM).
- Knowledge of all major forms of contract (FIDIC, NEC, JCT).
- Proficient in English.
- Demonstrative verbal & written communication and negotiation skills.
- Working knowledge of industry practices.
- Previous experience in a fit-out business in a similar role.
