The Role


To support the Sales, Production, Operations, Finance, Projects & Marketing teams in an administrative capacity, co-ordinating and assisting their activities focusing on the group’s products and services.


Job Summary/Responsibilities:

  1. Accurate and timely distribution and processing of sales contracts and raising purchase orders.
  2. Accurate and timely management of invoicing for all contracted bookings; managing vendors, suppliers and contractors.
  3. Accurate and timely reports creation, generation and maintenance as required.
  4. Maintain a complete and accurate exhibitor list, budget/invoice tracker, speaker tracker, and tasks tracker.
  5. Accurate and timely circulation of exhibitor list and relevant trackers to appropriate contacts for verification.
  6. Effective co-ordination of information to appropriate departments both internal and external.

Coordination & Administration

  1. Be the contact for general enquiries on behalf of the sales team when members are unavailable.
  2. Build operational implementation plans and ensure adherence to deadlines.
  3. Coordinate timely and accurate exhibitor lists and relevant trackers to key resource persons using project management tools.
  4. Collect and collate sales contracts, vendor & speaker contracts and invoices ensuring all tracking is in place.
  5. Maintain a ‘master’ exhibitors list and relevant trackers containing accurate, complete and current details.
  6. Share leads for the sales team to upsell and/or sell existing products if required.
  7. Enter sales leads/contacts accurately into the CMS.
  8. Enter vendor information and raise purchase orders into the billing system.
  9. Regular interaction with the accounts department to maintain accurate invoicing process.
  10. Liaise with credit control and chase payments if necessary.
  11. Provide revenue reports per event, product or as required by the sales team/group director.
  12. Anticipate project needs, discern work priorities and meet deadlines with little supervision.
  13. Manage multiple projects simultaneously and meet deadlines.
  14. Willing to work overtime or weekends if needed.
  15. Assist on-site when required, maximum three (3) months on-site support on each event.

Qualifications


Educated to secondary standard (GCE ‘O’ Level/GCSE) or equivalent.


Essential

  1. 1-2 years’ experience in a support role where working accurately and to deadlines is a prerequisite.
  2. Strong administrative experience in a cross-functional environment.
  3. Excellent telephone and electronic mail manner.
  4. Proficient in the use of MS Office including intermediate/advanced PowerPoint, Word, Excel, Outlook, and Adobe Acrobat.
  5. Attention to detail.
  6. Fluency in written and spoken English.
  7. Effective communication skills.
